How to Manage User Permissions in ProLine

This guide walks you through accessing and changing user permissions.

Accessing the User Permissions Panel

To manage user permissions in ProLine click on the hamburger menu icon > Manage Team.

  1. Click on the user whose permissions you want to adjust.

Once you’ve selected the new permission level for the user, click Save to apply your changes.

ProLine Permission Levels

ProLine offers various permission levels for different roles within your team:

Admin

Admins have the highest level of access and full privileges within ProLine. They have the ability to add or remove users and manage company-wide settings.

Manager

Managers have a moderate level of access within ProLine. They can view all projects and user activities, but they cannot alter company-wide settings such as integrations and company settings.

Basic Team Member

Basic team members have limited access within ProLine. They cannot access company-wide settings, but as an admin or manager, you can customize their access by selecting the text box next to Assigned Pipelines to choose which pipelines they can access. Additionally, admins and managers can give basic team members access to each other's phone numbers. Select the text box next to Assigned Teammates to choose an additional account that the basic team member can switch to.

Disabled

Disabled users have no access to ProLine. However, their data is preserved for future use. Admins and managers can change a user's permissions to "Disabled" to block their access to ProLine.

Additional Settings for User Accounts

Automated Communication

Select this to stop automated texts and emails from being sent to contacts assigned to the user you selected. All manual texting, calling, and email functionality will still work.

Call Forwarding

Select this to forward calls received by the user’s number to the device/number associated with a different team member. Once selected, a dropdown will appear where you can choose where to forward the calls. This is useful for managing vacations or for non-personal user accounts acting as a company number.

Email Management

Select this to cause emails sent by the team member through ProLine (both manual and automated) to be sent via a different team member's email integration*.* Once selected, a dropdown will appear where you can choose the forwarding email.

User Types in ProLine

Regular User

  • Standard account type with full functionality including assignments to projects and tasks.

  • Receives a ProLine number and email connections.

Limited User

  • Access-restricted account.

  • Cannot be assigned to projects, tasks, or receive a ProLine number. Ideal for roles like CPAs or consultants that require access without full functionality.

  • You won't be billed for limited users.

If you decide to change a user’s user type from basic to limited, select the user and click Change.

  1. A menu will appear asking you to choose who will receive the users projects and events.

  2. Type DOWNGRADE into the box below.

  3. Click the Downgrade button to change the user from basic to limited.

The same process works for upgrading a user from limited to basic.
