Manage Team: Permission Profiles

This guide will walk you through what permission profiles are, how to create/customize them and how they function in your Proline account.

What Are Permission Profiles?

Permission profiles are customizable access control settings that can be assigned to any ProLine user who is not an admin. These profiles determine what a team member can view, edit, or access within your Proline account.

By default, ProLine comes with two out-of-the-box permission profiles:

  • Basic

  • Manager

These built-in profiles follow best practices suitable for teams of all sizes, but they can be configured to fit your organization's needs.

Navigating to Permission Profiles

  1. Click the hamburger menu (☰) in the upper left.

  2. Select Manage Team.

  3. Navigate to the Permission Profiles tab.

Customizing or Creating New Profiles

You can:

  • Edit existing profiles (rename them or change access levels).

    • To edit, click the pencil icon to the right of the profile

  • Create new profiles with custom permissions.

Steps to Create a New Profile

  1. Click “Add Permission Profile”.

  2. Enter a profile name.

  3. Assign all the permissions you want this profile to have access to

  4. All selections are auto-saved

  5. Once done, just close out of the permissions pop-up.

Assigning Profiles to Team Members

When adding a new team member:

  • You’ll choose between Admin (full access, no profile needed) or Restricted (requires a permission profile).

  • For Restricted users, select the appropriate permission profile from the dropdown list.

Other Permission Types

Proline supports three user permission types:

  1. Admin – Admins have full control of this ProLine account. They can make changes to anything except for removing the owner.

  2. Restricted – Restricted users have a Permission Profile assigned which allows more granular control of which parts of the application they can access.

  3. Disabled – Disabled users are auto-logged out of their account and can no longer access ProLine. Use this to quickly cut access to a user without releasing their ProLine number or otherwise disrupting your account.

Deleting Permission Profiles

If you need to delete a profile:

  1. Go to the profile in question.

  2. Click Edit.

  3. Scroll to the bottom and select Delete Permission Profile.

  4. You'll be prompted to replace this profile with another to ensure no users are left without a profile.

Access Options:

Company Settings: This section goes over all tabs within the company settings, if you want the user to have access to only a select few or all, just select add a checkmark next to each option listed.

  • Brand Settings: This permission would allow the user to have access to change/view your logo, company name and legal business name.

  • Location Settings: This permission would allow the user to have access to view location details, add/delete locations, and manage taxes per location.

  • Review Settings: This permission would allow user to toggle off/on the ability to link the company review landing page.

  • Project Settings: This permission would allow the user to manage all project options, these include options such as default naming, icon colors, adding/removing custom fields and areas.

  • Portal Settings: This permission would allow the user to manage the “Refer Us” setting options that show within the project portal.

  • Stages Settings: This permission would allow the user to manage all stage settings, such as, adding/deleting pipelines, adding/deleting stages, reassigning status’s, and editing triggers per stage.

  • Contact Settings: This permission would allow the user to manage all contact options within your ProLine account, these are; custom fields, contact types, contact tags, and lead sources.

  • Event Settings: This permission would allow the user to manage the company calendars, and the event types for each calendar.

  • Measurement Settings: This permission would allow the user to manage/edit the measurement report fields and measurement sub calculations.

  • Quote Settings: This permission would allow the user to have access to your quote templates but they can be narrowed down to more detailed restrictions that you would want them to have, such as..

    • Add/Remove Templates: This would allow them to add all new templates and delete current templates (all pages within).

    • Add/Remove/Edit Pages: This would allow them to only manage the pages within a template but not delete the template as a whole.

    • Edit Template Settings: This is would allow them to edit the default settings per templates.

  • Price List Settings: This would allow the user to have access to all pricing for your account, these numbers are tied to your quote templates.

    • Edit Price Calculations: This permission would allow the user to edit calculations per line item, effecting how much of each product is ordered when measurements are applied to a quote.

  • Order Settings: This permission would allow the user to add/delete/edit all order templates.

  • Invoice Settings: This permission would allow the user to add/edit/delete invoice templates, view merchant settings and view all merchant reporting.

  • Working Hours: This permission would allow the user to manage the company’s working hours for the ProLine account.

  • Automation Settings: This permission would allow the user to manage the messaging sending hours & rules for the whole ProLine account.

  • Phone Settings: This permission would allow the user to manage company phone number registrations & recording options.

  • Email Settings: This permission would allow the user to manage general email settings and signature settings.

  • ProCanvas Settings: This permission would allow the user to manage the default outcomes and rejections reasons for the canvassing tab.

  • Other Settings: This permission would allow the user to have access for deleting account

General Access

  • Company Integrations: This permission would allow the user to have access to the integrations page for all integrations the company is connected too.

  • Campaign Manager Page: This permission would allow the user to add/edit/delete any campaign within the company’s account.

  • Import Tools: This permission would allow the user to do bulk imports such as; contacts, projects, activity, files and price list.

  • Plan & Billing: This permission would allow the user to view the company’s ProLine plan to either upgrade or downgrade account, as well as view all billing invoices.

  • Access All Projects Report: This permission would allow the user to view the “All Projects” tab in the data manager giving access to view and filter all projects.

  • Access All Contacts Report: This permission would allow the user to view the “All Contacts” tab in the data manager, giving access to view and filter all contacts and pull any filtered report of their choosing.

  • Access All Jobs Report: This permission would allow the user to view the “All Jobs” tab in the data manager, giving access to view and filter all jobs.

  • Global Notifications: This permission would allow the user to have access to receive global notifications, for example, receiving a notification when any quote is signed no matter the project assignee.

  • View All Projects & Jobs: This permission would allow the user to view all projects and jobs whether they are the assigned user or not, on the kanban view and filter as needed.

  • View All Organizations: This permission would allow the user to view all organizations within the ProLine account. Enabling the drop down option on the organization boards page.

  • View All Locations: This permission would allow the user to view all locations on kanban view.

  • View All Events: This permission would allow the user to view all events/calendars with your ProLine account. If unchecked, a user will only see what is assigned to them.

  • View All Tasks: This permission would allow the user to view all tasks for them and other users within your ProLine account. If unchecked, a user will only see what is assigned to them.

  • Edit Tasks: This permission would allow the user to edit tasks for other users in your company.

  • Delete Contact: This permission would allow the user the ability to delete a contact.

  • Delete / Merge Project: This permission would allow the user the ability to delete or merge a project.

  • Edit Campaigns & Triggers: This permission would allow the user the ability to edit campaigns and stage triggers on the project level. If left unchecked, the user cannot edit campaigns or add/edit/update/enable/disable triggers at all.

  • Manage Team Page: This permission would allow the user to add and manage other users, specifically their permissions and commission settings.

  • Manage Company Files: This permission would allow the user to add/edit/delete company files that are viewable to all other users.

Leaderboard Access

  • Access Leaderboard: This permission would allow the user to view the leaderboard within the company dashboard, it would show where they stand against all other users within the company.

    • See All Contract Value: This would allow the user to see the contract values for them and all other users.

    • See All Revenue: This would allow the user to see all revenue for them and all other users.

    • See All Commission: This would allow the user to see commissions for all users.

Project Access

  • Details Tab: This would allow the user to view/edit/add information on the details tab within a project.

  • Events Tab: This would allow the user to view/edit/add event information within a project.

  • Activity Tab: This would allow the user to view, add and leave notes on activity items within the activity tab within a project. Activity items include calls, voicemails, emails and texts.

  • Files Tab: This would allow the user to add/edit/delete files and photos within the file tab on a project.

  • Tasks Tab: This would allow the user to view the tasks tab within a project to add, mark complete and delete tasks.

  • Measure Tab: This would allow the user to add, order, edit or delete measurement reports within the project.

  • Invoice Tab: This would allow the user to add, edit and delete all invoices within the project.

Contact Access

  • Details Tab: This permission would allow the user to view, edit, or delete any information within the details tab of a contact card.

  • Activity Tab: This permission would allow the user to view and add notes to any information within the activity tab for a contact.

  • Projects Tab: This permission would allow the user to view all projects that are tied to a contact.

  • Files Tab: This permission would allow the user view, add, edit or delete any files that are within the files tab of a contact.

Order Access: This would allow the user to view the order tab within a project and create order, material based or labor based.

  • Edit Vendor: The ability to edit the vendor for a individual order form.

  • Edit Signatory: The ability to edit who the signatory is on the order form.

  • Edit Signing Requirement: The ability to toggle the option for a signature being a requirement or not.

  • Edit Order Terms: The ability to edit/remove order terms.

Quote Access

  • Access Quotes Tab: In order for a user to have any access to quote templates within a project they need to have this item selected, this would be the create and view only option based on the settings for that quote template.

    • See Costs & Margin: This allows the user to see all costs and margin for the quote.

    • Edit Margin: This allows the user to edit the default margin; could either go higher or lower based on configuration at the company settings level.

    • Override Margin Min/Max: Gives the user permission to override the margin min/max that were established in company settings level.

    • Edit Card Fee Inclusion: Gives user the permission to toggle on/off if card processing fee should be included in the quote or if should be passed to the project contact.

    • Change Deposit: This permission gives user the ability to change the deposit options and amount.

    • Edit Vendor Tax: Gives user the permission to edit what vendor taxes are charged on the quote.

    • Edit Rounding: Gives user the ability to edit the default rounding options.

    • Edit Discounts: Gives users to add or delete discounts auto applied to the quote.

    • Edit Line Item Visibility: Allows the user to choose whether line items can be viewed to the customer or not.

    • Edit Financing: If financing is offered on the quote, this would allow the user to turn it off.

    • Send Quote: Gives user the ability to send quotes to contacts.

    • Sign Quote: Gives user to sign the quote on behalf of the company when additional signers are set.

    • Quote Signers: Gives the user the ability to add, delete or change signers on the quote

    • Edit Line Item Cost: Allows the user to edit the cost of items within the structure/option pages.

    • Editable Line Items: Choose which line items they have permission to edit when creating a Quote in ProLine. There are 2 options “All Price List Items,” which gives access to edit the cost of all line items on a quote and “Select Items Only,” which gives access to editing the cost of only certain line items.

Budget Access

  • Access Budget Tab: This permission would allow the user to have a view only access for the budget tab within a project.

  • Edit Commission: This permission would allow the user to be able to edit what the commission formula to be paid out would be.

  • Edit Service Tax: This permission would allow the user to add additional service tax to a project.

  • Add Cost Items: This permission would allow the user to add costs (receipts) within the budget.

  • Delete Cost Items: This permission would all the user to be able to delete any costs entered into a budget.

Dashboard Access: In order for the user to have access to any dashboards they would need to have the primary permission turned on, then the specific dashboards below would need to be chosen. It is important to note that if they have access to a dashboard, everything within that dashboard is visible.

  • View Overview

  • View Usage

  • View Marketing

  • View Production

  • View Sales

  • View Cash Flow

  • View Profitability

  • View Activity

  • View Map

Team Member Access: This permission is ideal for managers or team leads who need visibility into other team members accounts. It enables profile switching based on the configuration you choose. **** You can configure this permission in two ways:

  • Access All Team Members: Allows the user to switch between all team members by clicking on the top right corner.

  • Limited Team Member Access: Restricts profile switching to only the team members selected within this setting.

AI Agent Access: There are two ways to configure this setting for a user.

  1. Access All Team Members: Can view all AI team member’s communication in ProLine.

  2. Limited Team Member Access: Choose which AI team member’s communication is available to this user.

Pipeline Access: This permission allows the user to view either all or select pipelines from the dropdown
