Managing a Project: Activity Tab

This guide will review the activity tab within a project and how to filter, export and use the communication features within the tab.

Accessing the Activity Tab

  1. In your ProLine account, click on a project to open the Project Details.

  2. Click on the Activity tab.

  3. By default, the activity view will display All Activity.

What is the Activity Feed?

The activity tab within a ProLine project serves as the central hub for tracking all project-related communications and updates. Every interaction, from messages, calls, notes and edits within the project, is stored here in chronological order with a timestamp and the user who made the change, ensuring full transparency and accountability.

Filtering Activity

At the top of the Activity tab, you’ll see a dropdown menu. This allows you to quickly narrow down the type of communication or update you’re looking for. By default, it’s set to All Activity, but you can filter to view specific items:

  • Messages

  • Emails

  • Calls

  • Notes.

Exporting Activity

  • To the left of the dropdown, you’ll see a downward arrow button.

    • If this option isn’t available, it’s likely due to your permissions. Contact your admin to check or update your access.

  • Click this button to export the activity log for the project.

  • The export generates a CSV file that will be emailed to the account you’re logged in with.

    • Note: If you are not the account owner, the owner will be CC’d on the export for transparency.

  • Exports may take a few minutes depending on how much information is stored in the project.

Communication Tools within Activity

The Activity tab also allows you to communicate directly with contacts linked to the project.

  • Call (phone icon): Place a call to the main contact associated to the project. Returned calls will appear in the activity feed.

    • All incoming and outgoing calls in ProLine (if enabled in your Company Settings) are automatically recorded and stored within the project. This makes it easy for you or your team to listen back and add notes to each specific call.

    • Better and Best Accounts also have transcription and AI summaries.

  • Message (chat bubble): Send SMS messages directly to the main contact associated with the project. Replies will be stored in the same thread.

    • The chat bubble will show you (the logged in user) and the contacts message thread.

    • Within the activity thread you will see all the messages from other users who have texted with the contact.

  • Email (envelope icon): Compose and send emails to the main contact associated with the project. With two-way sync enabled (in Company Settings), replies will also flow back into the activity feed. Files can be attached to emails as needed.

    • Similar to messages, emails from you and other ProLine users will all show within the general activity feed.

  • Voice Note (microphone): Better and Best accounts can record and save a voice note instead of typing. For internal visibility only.

  • Plus (+) Button: Add manual entries such as:

    • General Notes – Can be done on any edit/change to the project or communication to leave quick remarks, visually similar to a sticky notes. You can mention any other team member using notes and they will automatically get task assigned that they have been mentioned on a note.

      • Important: When multiple users are tagged in a single note (like in a thread), only the first mention creates a task notification. If you’re tagged again in the same note, no additional tasks or notifications will be generated.

    • Calls – Log calls made outside of ProLine (incoming or outgoing).

    • Texts – Log texts made outside of ProLine (incoming or outgoing).

    • Emails – Track email communications not sent through ProLine.

    • Alerts – Create a record in the project timeline to log specific actions (such as important project updates) along with the date and time. You can also add notes to an alert if needed.

    • Chats - Share specific activity in internal chats from a Project’s Activity Feed by clicking on the specific activity and choosing “share in chat.”

    • Notes - Add a note to a specific activity by clicking on the specific activity and choosing “add note”

Activity sharing and additional notes

You have the ability to click on any activity item within a project to leave additional notes or share that activity to others within your ProLine account. This feature makes it easy to highlight specific project updates or communications to team members without leaving the Activity tab.

  1. Click on any activity item

  2. Click the Add Note button

    1. Add your comments/additional information for that specific activity

    2. Should you want to tag someone within the note, use the “@” symbol and type the user name.

  3. Or the Share in Chat button

    1. Choose whether to share in a Channel or a Conversation.

    2. Select from your existing channels or conversation history.

Why the Activity Tab Matters

  • Complete History: Every change, no matter how minor is logged.

  • Transparency: Activities are timestamped and linked to the user who performed them.

  • Centralized Communication: Calls, texts, emails, and notes all live in one place.

  • Collaboration: Key activities can be shared with team members directly via chat.

Tip: Use the Activity tab as your single source of truth for project communications. Since even minor updates are captured, it provides a reliable audit trail for accountability and smoother collaboration.
