Understanding and Managing Campaign Triggers

Introduction to Triggers

ProLine is built of two basic components: a CRM and communication automations. The CRM covers features like projects, contacts, tasks, and quotes. Communication automations cover the pipelines, campaigns, and stages that send texts and emails.

Think of campaign triggers as the middle-men between the CRM and the communication automations. They take changes on the CRM side and let the communication automations know what to send and when. Here's a diagram to help you picture how it works...

As you can see, there are three types of Campaign Triggers...

  • Stage Triggers: Activate based on changes or progressions in project stages.

  • Event Triggers: Initiate actions based on scheduled events or appointments.

  • Integration Triggers: Connect ProLine with external applications or platforms to automate workflows based on data received from these external sources.

Understanding how to use triggers can make sure customers travel every step of your business process without a hitch.

Here's how to set them up!

Stage Triggers

Stage triggers are foundational to managing workflows in ProLine. They dictate what campaigns a project contact receives once they enter a stage. For instance, you can trigger one campaign for commercial projects and another one for residential projects.

  • Click the Gear icon on any stage to view existing triggers.

  • Select a trigger to modify, reorder, or delete it.

  • Click Add Trigger to create a new trigger. You can control what campaign triggers based on the project location, category, type, service, and tag.

  • Choose to stop or continue active campaigns.

  • Choose which campaign you want a contact to receive once they enter a stage.

Stages with green gears the top have triggers activated.

To toggle triggers on and off, click the gear icon and then click the Start or Pause button in the top right.

You'll also need to make sure your triggered campaigns are activated. Click VIEW CAMPAIGN and sure the Gear icon is green and rotating. If not, click the Start button to activate the campaign.

Event Triggers

Event triggers automate processes for scheduled events. For instance, you could set up an event trigger that sends a series of reminders once an inspection gets scheduled.

Here’s how to set them up:

  • Under Event Types you'll see all your existing events, along with an option to add a new event type.

  • Next to an event you'll see a Gears icon. Click it to select a stage and campaign to trigger when the event is scheduled.

  • Now, go to the stage you just selected from the Projects Dashboard and click the Gear icon. You'll see a new Related Event Trigger that will activate a campaign once an event is scheduled.

Integration Triggers

Integration triggers enable ProLine to automate communications and tasks based on data from an outside source.

Here’s how to set them up:

  • Choose the integration you want to trigger the action.

  • Specify what action you want the integration to trigger.

  • You can also use Zapier to create connections between ProLine and virtually any other software. Click ProLine API to get that process started.
