Managing Multiple Calendars in ProLine

Description: Learn how to effectively manage and utilize multiple calendars in Proline for better scheduling and task management.

In this article, we cover:

Proline's calendar functionality is designed to mimic the flexibility found in popular calendar applications like Google Calendar and Outlook, allowing users to create multiple calendars within the same account. This feature is particularly useful for businesses that require distinct scheduling for different departments or job functions.

Understanding ProLine Calendars

Proline calendars are visible as filtering options on the Events page, accessible from the navigation panel on the left side of the app (bottom of the app on mobile). These calendars function similarly to having multiple calendars in a single Google or Outlook account, where each calendar can host separate events, enabling overlapping schedules without conflict.

Creating and Managing Multiple Calendars

To make the most of this feature, you can set up multiple calendars specific to different needs, such as a production calendar and a sales calendar. This is especially beneficial in scenarios where staff roles overlap, such as a salesperson who also manages production. Here's how to set up and manage these calendars:

  1. Navigate to Company Settings.

  2. Click on the Events Tab.

  3. Add a New Calendar: Select the option to add a new calendar. Label it appropriately, for example, "Production" or "Sales".

  4. If you want to sync a calendar with an external calendar, select an external calendar for your new calendar in the “Personal Integrations” area of the Integrations page for your account.

  5. Use your new calendar when scheduling events.

Examples of Using Multiple Calendars

  • Scenario 1: Overlapping Schedules: A sales manager who also oversees production might need to visit job sites while still being available for sales calls. By maintaining separate calendars for sales and production, they can manage their time efficiently without overbooking.

  • Scenario 2: Multiple Crews: If your company employs multiple crews, consider setting up a distinct production calendar for each crew. This arrangement helps in assigning and tracking tasks specific to each crew without confusion.
