Preparing for Contact Import
Importing contacts into ProLine requires using the contact import tool. However, caution is needed, especially when dealing with new customer data. Ideally, combine customer information with project data in one sheet to facilitate the import process via the project importer. If combining data isn't possible, importing customer contact and project information separately is feasible, although it introduces complexity due to the necessity of maintaining an external ID.
Steps for Importing Contacts
To begin, navigate to hamburger menu > Import Tools > Import Contacts from CSV > New Import.
Download the sample contact upload to understand the expected format, including necessary fields like contact type, lead source, and external IDs.
Match the contact type exactly with the contact types found under hamburger menu > Company Settings > Contacts. This ensures that the imported contacts are correctly categorized.
Utilize the external ID field to link contacts with other records in ProLine, such as activities or projects. This ID must be unique and correspond to identifiers from your existing systems.
Handling Multiple Phone Numbers
ProLine supports only one phone number per contact to facilitate efficient routing of texts and calls. If multiple phone numbers are necessary for a single contact:
Save additional phone numbers in the notes section of the contact record.
Alternatively, create duplicate contact entries with different phone numbers for the same individual.
Example of Handling Contacts with Multiple Phone Numbers:
Add the primary phone number in the phone field.
Enter additional phone numbers in the notes or create a new contact record for each phone number.
