ProLine allows you to enhance your workflow by importing activity items directly from a CSV file. This feature is particularly useful when transitioning data from other CRM platforms to ProLine, ensuring that all past activities are captured and assigned correctly.

Preparing Your CSV File for Import

Before importing your activities into ProLine, ensure your CSV file is formatted correctly. ProLine provides a sample sheet which you can download to understand the required format. Typically, your CSV file should include fields for activity details such as type, subject, and associated IDs for contacts or projects.

Steps to Prepare Your CSV:

  1. Download the Sample CSV: Go to the import section and download the ProLine sample CSV to ensure your data aligns with the required format.

  2. Export Data from Your Current CRM: Export activity data from your existing CRM, ensuring each activity includes a reference to a contact or project via an external ID.

  3. Format Your CSV: Align your exported data with the ProLine format, paying special attention to essential fields like Project External ID and Contact External ID.

Associating Activities with Contacts or Projects

When importing activities, it’s crucial to associate each activity with an existing contact or project in ProLine. Activities must be linked through identifiable external IDs provided during previous imports of contacts or projects.

Key Fields:

  • Project External ID: Link the activity to a previously imported project.

  • Contact External ID: Associate the activity with a specific contact.

Importing Activity Types and Details

ProLine supports various types of activities including notes, notifications, calls, emails, and text messages. Each type has specific fields and characteristics.

Activity Types:

  • Note Only: Text entries that can be edited post-import.

  • Notifications: Non-editable entries; use this type if your previous system does not differentiate activity types.

  • Calls (Incoming and Outgoing): Include duration and possibly call recordings.

  • Emails and Text Messages: Must include fields like subject (for emails) and body (for both).

Steps to Import Activities:

  1. Choose the Correct Activity Type: Match the activity type from your CSV with the corresponding type in ProLine.

  2. Fill in the Necessary Details: Include all relevant details such as subject, body, and associated user or date.

  3. Upload the CSV File: Navigate to the import section and upload your prepared CSV file.

  4. Verify the Import: Ensure that activities are correctly linked and displayed in ProLine.

Handling Import Errors

If ProLine cannot link an activity to an existing contact or project, it will skip importing that particular entry. Ensure that the IDs in your CSV match those in ProLine. If errors persist, reviewing your CSV for discrepancies or reaching out to ProLine support might be necessary.
