Company Settings: Locations

Learn how to manage multiple locations, setting up billing addresses and using locations for quotes and orders.

What Is a Location?

A Location in ProLine represents a physical office or branch of your company. Locations control:

  • Office and billing addresses

  • Time zone

  • Service and vendor taxes

  • Price lists

  • Quote templates

  • Order templates

Every ProLine account has at least one location, created automatically when your account is set up. If you operate in multiple regions or have multiple branches, you can add additional locations. Templates and pricing created under Company Defaults are shared across all locations that haven't enabled location-specific settings. However, if a location has Use Unique Quote Templates & Pricing for This Location enabled, projects in that location will only have access to templates assigned there — and templates cannot be moved between locations once created. See the tips below for how to set up a new location efficiently.


Accessing Location Settings

  1. Click the hamburger menu (☰)Company Settings (this opens a new browser tab).

  2. Select Locations from the left menu.

You'll see a list of all your existing locations, with the default location marked.


Adding a New Location

  1. Click the Add Location button.

  2. Fill in the required details:

    • Location Name

    • Address Line 1

    • Address Line 2 (optional)

    • City

    • State

    • ZIP Code

    • Country

    • Time Zone

  3. Click the blue Add button to save.

The new location will appear in the locations list.


Editing an Existing Location

Click on a location name to expand its settings. From here you can update:

  • Location Name

  • Default Location — check this box to make it the default for your settings

  • Office Address — address, city, state, postal code, country, and time zone

  • Use Different Billing Address on Invoices — check this box to enter a separate billing address that will appear on invoices

  • Vendor Taxes — select vendor taxes to apply at the price line item level for this location

  • Service Tax — select a service tax to apply at the quote level for this location

  • Review Settings — set a Review Landing Page and Review Request URL (usually your Google Business review link) specific to this location. More details about the Review Landing Page here.

Click Save when done, or Cancel to discard changes.


Taxes

Taxes are managed at the location level. You can create and assign two types:

Vendor Tax — applied at the price line item level in quotes, before margin or card fees. It is not shown to the client and only applies to line items with matching cost types (e.g., Labor, Material).

Service Tax — applied to the total quote amount, after discounts and before the cash discount. It is visible to clients on the quote.

To manage taxes, scroll down to the Taxes section of the Locations page and expand it. From there you can:

  • View existing vendor and service taxes

  • Click + Add Vendor Tax or + Add Service Tax to create a new one (enter the name, rate percentage, and for vendor taxes, the categories taxed)

  • Delete taxes you no longer need

To assign taxes to a specific location, open that location's settings and select from the Service Tax and Vendor Taxes dropdowns. Once assigned, they will automatically be applied to quotes created in projects in that location.


How Locations Affect Price Lists, Quote Templates, and Order Templates

This is important: By default, price lists, quote templates, and order templates created under Company Defaults are shared across all locations. However, if a location has Use Unique Quote Templates & Pricing for This Location enabled, projects in that location will only have access to templates and pricing assigned specifically to it. Keep in mind that templates and price list items cannot be transferred or moved between locations once created, so it's worth planning your setup carefully.

When you view the Price List, Quote Templates, or Order Templates pages in Company Settings, you'll see a location dropdown at the top (it may show "Company Defaults" or a specific location name). Use this dropdown to switch between locations and manage each location's items separately.

Setting Up a New Location's Price List and Templates

Since items can't be moved between locations, here are the fastest ways to set up a new location:

For Price Lists:

  • Export and re-import — Go to the Price List page, select your existing location, and use the export option to download your price list. Then switch to the new location and import that file. This is the fastest way to duplicate your price list.

  • Manually add items — Use Add Price to add items one by one if you only need a subset of your existing price list.

For Quote Templates:

  • When setting up quote templates in a new location with the Use Unique Quote Templates & Pricing for This Location setting enabled, the template list will start blank. Use the Add Quote Template From Library button to pull in an existing template from your company defaults, then edit it as needed for that location.

For Order Templates:

  • Click + Add Order Template and rebuild the template for the new location. You can reference your existing templates as a guide.

Tip: Set up your new location's price list before building quote or order templates, so items are already available to pull in.


How Location Appears Elsewhere in ProLine

Locations surface in several other areas:

  • Team Members — each team member has a Primary Location assigned in their profile (Manage Team > Team Members).

  • Projects — ProLine automatically assigns the closest location to a project based on the project's address. You can manually change the location on a project if needed.

  • Boards — On the Boards view, click Filters to filter your board by location. This lets you focus on projects assigned to a specific location.

  • Price List — the location dropdown at the top of the Price List page determines which location's prices you're viewing and editing.

  • Quote Templates / Order Templates — the location dropdown at the top of those pages determines which location's templates you're managing.


How Project Location Assignment Works

Each team member has a Primary Location assigned in their profile (Manage Team > Team Members). This plays a role in how projects are assigned and which location is applied to them.

Manually Created Projects — When adding a project manually, ProLine automatically assigns the nearest location based on the project's address, regardless of the team member's primary location.

Web Forms — Location assignment through web forms behaves differently depending on the assignees configured. For more details on how this works, check our Web Forms article.

Zapier — If Zapier sends an explicit project location, ProLine uses that. Otherwise, the nearest location is determined based on the project's address. If no location can be resolved, it falls back to the company's default location.

Web Leads (WebHooks) — The incoming lead's project address is used to determine the nearest location. If no location can be resolved from the address, it falls back to the company's default location.
