Workflows: Step - "Queue Projects"

This guide shows you how to add and configure a Queue Projects step in a Workflow in your ProLine account.

Overview

The Queue Projects step allows you to control the flow of projects into your workflow to prevent overload and manage resources effectively. Use this step when you have a large volume of projects in a workflow and want to limit how many of them move through each day.


How to Access the Workflow Builder

  1. Click the hamburger menu (☰) in the top-left corner of your ProLine account.

  2. Click Workflows.

  3. Click the Workflows tab.

  4. From here you can either click the pencil icon on an existing workflow to open it, or click Create Workflow to create a new one. Both will open the Workflow Builder.


Adding a Queue Projects Step

In the Workflow Builder, hover over any of the downward arrows between steps and click Add Step when it appears. If you are setting up a new workflow, click the Add Your First Step button in the center of the builder.

An Add Step panel will open with a search bar and a list of step types organized by category: Communication, Tasks & Projects, Workflow Control, and Integrations. Select Queue Projects under the Workflow Control section.

This will open the Edit Step panel on the right side of the screen.


Configuring the Step

Step Status

Use the toggle at the top to set the step as Active or Inactive. Inactive steps are skipped automatically when the workflow runs but remain in the workflow for future use.

Conditional Logic

Check Only run this step if certain conditions are met to make this step run only when specific criteria are matched. If the conditions are not met, ProLine skips the step and moves to the next one automatically. For more details on how conditional logic works, see Workflows: Workflow Steps Overview.


Queue Configuration

When this step occurs, the project will be queued for the next available start date. Use this step when you have a large volume of projects in a workflow and want to limit how many of them pass this step each day. Projects will pass this step on their queued date at the "Don't Send Before" time configured under Company Settings > Automation Rules. The queue will also adhere to the "Don't Send on Saturday" and "Don't Send on Sunday" options set in the same location.

Recommendations for Using Queue Projects

Managing Project Flow

The purpose of Queue Projects is to slow down the bulk movement of projects into workflows. This prevents triggering too many automated steps at once, which can overload your system and team.

Avoiding Overload

Sending messages to a large number of contacts simultaneously can create numerous responses. If even 10% of contacts respond, managing these conversations can become unmanageable. A conservative limit helps prevent overwhelming your team and ensures a manageable flow of incoming messages.

Preserving Pro Credits

ProLine allocates 5,000 text automation credits per month. Rapidly moving contacts through a workflow can deplete these credits quickly. By setting a lower daily limit, you can better manage credit usage and avoid unexpected overages.
