This guide goes over what project tags are, how to create them and how to use them within your ProLine account.

What is a Project Tag?

A project tag is a custom label that you can apply to the project details to help organize, categorize, and filter it based on specific attributes or characteristics.

Navigating to Project Tags

To access and manage your project tags, follow these steps:

  1. Open the hamburger menu (☰) in the upper left corner of the screen.

  2. Select Company Settings.

  3. Click on the Projects tab.

  4. Scroll down to the section labeled Project Tags.

This section allows you to view, edit, or customize the tags associated with your projects.

Customization and Flexibility

The tags provided by default are just starting points, you can fully customize them to align with your team's workflows, language, and project goals. There’s no limit to the number of tags you can create in your account.

You can easily modify the default project tags:

  • To add new items, scroll to the bottom of the Project Tag list and click Add Tag.

  • To delete an item, click the trash icon next to the Tag.

  • You can also edit a tag by clicking directly on its name.

Project Tags vs. Lead Sources

Although some default tags may resemble lead sources, it’s important to understand the distinction.

A lead source is tied to a contact, while a project tag is associated with a project. Many users choose to mirror the lead source as a project tag for consistency and easier filtering, but the two serve different purposes.

Why Use Project Tags?

Project tags offer multiple layers of functionality:

1. Enhanced Filtering

Project tags make it easier to segment and analyze data:

  • In the Data Manager- Projects section.

  • On reporting dashboards

2. Granular Segmentation

Even if the lead source doesn’t change, projects may still differ based on where or how they originated. Tags help introduce another level of filtering to account for these variations.

Workflow Triggers

One of the more powerful uses of project tags is their integration with automation features:

Stage Triggers

You can configure ProLine to start or stop campaigns when a project moves to a certain stage based on its tags. For instance:

  • Use a tag like blacklist to stop all campaigns related to a project.

  • Use stage-specific tags to tailor communications at different steps in your sales or production pipeline.

Adding & Using Tags at the Project vs. Quote Level

Project tags can now be applied in two ways, depending on your workflow and reporting needs:

1. Adding Tags Directly to a Project

  1. Open any project in your ProLine system.

  2. On the left-hand details panel, scroll down until you see the Tags section.

  3. Click into the field, search or select the tags you want to apply, and they will immediately be added to the project.

This is ideal when you already know the correct tags for the project from the start.

2. Adding Tags to Quotes (Option & Add-On Pages)

You can now pre-assign tags to specific quote options or add-on pages. These tags will auto-apply to the project if the customer selects that option.

How to add tags to a quote option or add-on page:

  1. Navigate to your quote template or an individual quote.

  2. Open the Option Page or Add-On Page where you want the tag to apply.

  3. Click the gear icon to edit that page’s settings.

  4. Scroll down to the Tags field and select the desired tag(s).

  5. Save your changes.

Example:

  • Option A includes a Standard Warranty tag.

  • Option B includes an Extended Warranty tag.

If the customer selects Option B, the “Extended Warranty” tag is automatically applied to the project, ensuring your reports and dashboards stay accurate.

Why Use Tags at the Quote Level

  • Reduce Human Error: Automates tag assignment when customers select specific options.

  • Improved Reporting: Tags tied to selected options flow automatically into dashboards.

  • Consistency: Ensures project records accurately reflect what the customer purchased without requiring manual updates.

This enhancement lets you keep your reporting clean and automated while reducing the chance of missing important tags when projects move forward
