Company Settings: Email

This guide walks through the three major components of Proline’s company-level email settings.

1. BCC Address

The BCC (Blind Carbon Copy) Address setting allows you to route a copy of every outbound email sent from any user in your ProLine account to a designated email address.

Why Use It?

  • Keeps a centralized archive of outbound communications.

  • Useful for auditing, compliance, or integration with external Databases or record systems.

  • Ensures no outbound message goes undocumented.

2. Two-Way Email Sync

This feature will bring in emails sent from outside ProLine as well as replies to emails.

Key Benefits

  • Maintains a complete conversation history inside the project.

  • Prevents missed communications by syncing replies from contacts back into ProLine, even if the email was originally sent from an external email client.

  • Provides team-wide visibility, so everyone sees responses even if they weren’t on the original thread.

Note: If you enable two-way sync after users are already onboarded: Each user will need to disconnect and reconnect their email integration to apply the new setting.

Tip: 2-Way Sync is the preferred method to track emails within ProLine, you can still use the BCC option to track externally, for that way of tracking we recommend having a dedicated inbox for those emails to be organized within.

3. Email Signatures

To ensure consistent branding across all communication, this feature allows you to standardize how email signatures appear when emails are sent from ProLine.

This Signature content populates the {{email_signature}} variable in outgoing emails.

Features

  • Create a uniform email signature template that applies across all paid users in your account.

  • Use dynamic variables (e.g., name, title, phone number) for personalization without compromising formatting. You can view all available variables by clicking Show Variables in the lower-right corner of the Email Settings panel.

  • Restrict individual customization to prevent off-brand or inconsistent signatures.

How to Set Up

  • Input your desired signature structure using supported variables.

  • Save your settings to apply them company-wide.

This ensures every message your team sends looks polished and consistent with your company’s branding.

Final Step: Save Your Settings

Once all options are configured according to your preferences, simply click Save. Your updated company-level email settings will be applied immediately, helping you manage communication more effectively and professionally within Proline.
