Workflows: Step - "Create Task"

This guide shows you how to add and configure a Create Task step in a Workflow in your ProLine account.

Overview

The Create Task step allows you to automatically create a task for a project contact as part of a workflow. Use this step to ensure the right team members are assigned the right actions at the right point in your automation.


How to Access the Workflow Builder

  1. Click the hamburger menu (☰) in the top-left corner of your ProLine account.

  2. Click Workflows.

  3. Click the Workflows tab.

  4. From here you can either click the pencil icon on an existing workflow to open it, or click Create Workflow to create a new one. Both will open the Workflow Builder.


Adding a Create Task Step

In the Workflow Builder, hover over any of the downward arrows between steps and click Add Step when it appears. If you are setting up a new workflow, click the Add Your First Step button in the center of the builder.

An Add Step panel will open with a search bar and a list of step types organized by category: Communication, Tasks & Projects, Workflow Control, and Integrations. Select Create Task under the Tasks & Projects section.

This will open the Edit Step panel on the right side of the screen.


Configuring the Step

Step Status Use the toggle at the top to set the step as Active or Inactive. Inactive steps are skipped automatically when the workflow runs but remain in the workflow for future use.

When Does This Run? Controls when the step executes after the workflow reaches it. The available options are: Starts Immediately, Starts at Optimal Time, Starts at Specific Time, Starts X Hours Before, and Restrict To. For a full explanation of each option, see Workflows: Workflow Steps Overview.

Conditional Logic Check Only run this step if certain conditions are met to make this step run only when specific criteria are matched. If the conditions are not met, ProLine skips the step and moves to the next one automatically. For more details on how conditional logic works, see Workflows: Workflow Steps Overview.


Task Configuration

When this step occurs, the following task is created. You can assign one or more project roles or specific users to be assigned to the task.

Select Contact Choose which contact this task is associated with. The available options are:

  • Project's Main Contact

  • Project Contact 1

  • Project Contact 2

Project Roles (Optional) Select one or more project roles to be assigned to the task. The available options are:

  • Assignee

  • Inside Sales

  • Production

  • Accounting

Specific Users (Optional) Select one or more specific ProLine users to be assigned to the task.

Create This Note Choose how the task will be created:

  • Manually — Fill in the task details yourself using the fields below.

  • From a Template — Select an existing task template from the dropdown. To create or manage task templates, see Company Settings: Task Templates & Checklists.

Task Name (Required when creating manually) Enter a name for the task. You can use variables to dynamically fill in information specific to each contact or project:

  • Click Show Variables to browse available variables.

  • Select a variable to copy it, then paste it into your task name.

  • You can also type { directly in the field to open a dropdown of available variables.

Task Description Enter a description with any relevant details or instructions for the task.

Task Due In Enter the number of days from when the step runs until the task is due.

Lock project in stage until task completed Check this option to prevent the project from moving to the next stage until this task has been completed.

Don't Schedule Due Dates on Weekends Check this option to ensure task due dates are never set on a Saturday or Sunday.


Saving

Once you have configured your task, click Save.
