Easily set up an appointment reminders campaign in ProLine using event triggers and campaigns.

To set up an appointment reminders campaign in ProLine, you'll need to use event triggers and campaigns. This guide will walk you through the steps to create and link these components.

ProLine does not have native reminders for scheduled events except for external interactions like Google Calendar or Outlook Calendar. Instead, you need to use an appointment reminders campaign linked to the event type of the scheduled event.

Setting Up Event Triggers

Event triggers are controlled under the company settings. Follow these steps to set up an event trigger for your appointment reminders campaign:

  1. Navigate to Event Types: Go to hamburger menu > Company Settings > Events.

  2. Select an Event Type: Choose the event type you want to manage (e.g., Inspection, Production, Materials). Each event type can have its specific triggers and campaigns.

  3. Configure Event Trigger: Click the gear icon next to the event type to open the event trigger settings.

  4. Select Stage and Campaign: In the event trigger settings, select the project stage (if any) and the campaign you want to run when the event is scheduled.

Creating a New Campaign

If the campaign you need is not already created, follow these steps to set up a new campaign:

  1. Navigate to Campaigns: Go to hamburger menu > Campaigns > Appointment Reminders.

  2. Create a New Campaign: Click New Campaign and name it appropriately (e.g., Miscellaneous Call Reminders).

  3. Choose a Template: Start with a template by scrolling down to Appointment Reminders, Generic or another relevant template.

  4. Customize Notifications: Add and customize notifications. For example:

    • 24 hours before event: Send an email.

    • 1 hour before event: Send a text.

    • 5 minutes before event: Send a push notification.

    • You can set specific times for each notification, ensuring they count down to the event time.

Linking Campaigns to Event Types

Once your campaign is set up, link it to the appropriate event type in ProLine:

  1. Go to Event Trigger: Navigate back to hamburger menu > Company Settings > Events and select the event type.

  2. Assign the Campaign: In the event trigger settings, select the campaign you created from the dropdown menu.

Example Setup Steps

Here's a practical example of setting up a miscellaneous event with its own reminders campaign:

  1. Add a Miscellaneous Event Type:

    • Go to hamburger menu > Company Settings > Events.

    • Add a new event type named "Miscellaneous Event".

    • Set the default calendar to "Sales".

  2. Create a Miscellaneous Call Reminders Campaign:

    • Go to hamburger menu > Campaigns > Appointment Reminders.

    • Create a new campaign named "Miscellaneous Call Reminders".

    • Customize the campaign using the template and add notifications (emails, texts, push notifications) as needed.

  3. Link the Campaign to the Event Type:

    • Return to hamburger menu > Company Settings > Events.

    • Select "Miscellaneous Event" and open the event trigger settings.

    • Assign the "Miscellaneous Call Reminders" campaign.

  4. Schedule a Miscellaneous Event:

    • Go to the Sales Calendar.

    • Schedule a new event and select "Miscellaneous Event" from the event types.

    • The newly linked campaign will now trigger the reminders as configured.
