Integrations: CompanyCam

Learn how to connect CompanyCam with ProLine, understand the integration's functionality, and manage photos, videos, and documents between the two platforms.

Overview

Integrating CompanyCam with ProLine streamlines project management and media handling. Once connected, photos, videos, and documents captured in CompanyCam can sync to ProLine and flow directly into your project files.

There are a few things to keep in mind about how media syncs:

  • Photos and documents can be synced manually or automatically.

  • Videos sync automatically only; they will appear in ProLine on their own as long as the projects are already linked when the video is recorded. Videos cannot be added through the manual sync process.

💡 Important: This is a one-way sync. Media added directly in ProLine will not appear in CompanyCam.


Enabling the CompanyCam Integration

  1. Navigate to Hamburger menu (☰) > Integrations (this opens a new browser window).

  2. Click CompanyCam, then click Enable Integration.

  3. If you're already logged into CompanyCam, the integration will connect immediately. If not, log in when prompted.

  4. Confirm the integration is active by checking for a green checkmark and a status message indicating the integration is on.


How to Sync CompanyCam Projects to ProLine Projects

Manual Syncing (Photos and Documents)

Use manual syncing to link a CompanyCam project to a ProLine project and pull in photos and documents on demand.

  1. Navigate to the Files tab within the project.

  2. Click Add Content at the bottom and select the CompanyCam option.

  3. Enter a project name or address to locate the CompanyCam project.

  4. Click Link.

You'll see a folder labeled CompanyCam where all photos and documents will automatically sync from CompanyCam to ProLine.

Setting Up Automated Project Linking

To automatically create and link CompanyCam projects, you'll add a workflow step to your Appointment Reminders workflow. We recommend this workflow specifically because it targets leads that have a confirmed appointment, meaning you're likely heading to their home for an inspection. This way, the CompanyCam project is already created and linked by the time you arrive, without creating unnecessary projects for every incoming lead. That said, this step can be added to any workflow depending on your needs.

Add an Automation Step

  1. Navigate to Hamburger menu (☰) > Workflows.

  2. Click the Workflows tab at the top of the screen.

  3. Locate the Appointment Reminders workflow (or your desired workflow) by scrolling or using the Search Workflows bar above.

  4. Hover between any two steps to reveal the "+" icon, then click Add Step.

  5. Select Send to CompanyCam from the dropdown menu.

  6. Optionally, assign the CompanyCam project to the same person assigned in ProLine.

  7. Click Save.

Adjust Workflow Order

  1. Click and drag the Send to CompanyCam step to the top of the workflow list to ensure it runs immediately.

  2. Set the step status to Active at the top right of the step configuration window, and click Save.

  3. In the top-right corner of the workflow, check that the play/enable button is green. If it's not, click it to activate the workflow.

Once set up, a CompanyCam project will automatically be created and linked to the corresponding ProLine project once an appointment is booked. Photos, documents, and videos captured after the link is established will sync to ProLine without any manual steps.

Quick Notes About Syncing

  • To resync a linked CompanyCam project at any time, click Add Content > CompanyCam and select Sync. This will pull in any missing photos or documents. Videos cannot be synced through this process.

  • A CompanyCam project can only be linked to one ProLine project. If another ProLine project with the same address is already linked, the second project will not appear in the CompanyCam search results. As an alternative, files can be manually uploaded directly in the Files tab within the ProLine project.

  • Videos will not appear through manual syncing. To receive videos from CompanyCam, the projects must already be linked at the time the video is recorded in CompanyCam. Videos will then sync over automatically.


Accessing & Managing Synced Media

  1. Navigate to Boards.

  2. Locate the project in its current stage.

  3. Click the project to open it.

  4. Select the Files tab, then click the CompanyCam folder to access and manage your photos, videos, and documents.

💡 Important: Media synced from CompanyCam is not permanently stored in ProLine. If the CompanyCam account is deleted, synced media will no longer be accessible in ProLine.

Using CompanyCam Media

CompanyCam photos can be added to quote pages (such as cover pages or gallery pages), used as a project address reference photo on orders, or included as gallery images on invoices.

Controlling Media Visibility

You can control the visibility of CompanyCam media within the Files tab by marking it as Public or Private.

  1. Navigate to the Files tab within the project.

  2. Click the CompanyCam folder.

  3. Click the share icon (the branching arrow symbol in the folder toolbar).

  4. Select Public or Private.

  • Public: Anyone with the link can access the folder and its contents.

  • Private: The folder and its contents are only visible to members of your ProLine account.

💡 Note: This is useful when sharing the Project Portal URL with customers. If the folder is set to Public, customers will be able to see its contents.

Unlinking CompanyCam Projects from ProLine Projects

  1. Navigate to the Files tab within the project.

  2. Click Add Content and select the CompanyCam option.

  3. Choose Unlink Project.

💡 Note: Videos cannot be retrieved through the manual sync process. If you unlink and relink a project, any videos recorded during the original link period will not re-sync. Only new videos recorded while the projects are linked will appear.
