Company Settings: Locations - Taxes

Learn how to manage vendor and service taxes in ProLine, including setting them up, applying them to locations, and updating tax rates.

Accessing Tax Settings

  1. Click the hamburger menu (☰) in the top left corner of your ProLine account.

  2. Scroll down and select "Company Settings"

  3. A new window will appear in your browser

  4. Select the first tab on the left side labeled "Locations"

  5. Scroll to the bottom of the locations tab to find the "Taxes" drop down, click to them expand the section.

Understanding the Two Types of Taxes

Vendor Tax

These are the sales taxes your vendors charge you. Vendor tax helps manage your price list by keeping taxes separate from the item prices. Vendor tax is based on the location and applies dynamically, but can be changed for each project.

To add a new vendor tax:

  1. Click Add Vendor Tax.

  2. Enter a name for the tax.

  3. Set the tax rate (ex: 7.25%).

  4. Select the categories it applies to:

    • Materials

    • Rental

    • Miscellaneous (as applicable)

  5. Save the tax entry.

Note: You can create multiple vendor taxes if different categories have different rates.

Service Tax

Service tax is an additional charge on top of the overall job price, including profit, and applies to everything within the job. You are charging your customers these taxes, and they will be shown on each customer's quote.

Service tax is based on the location and applies dynamically but can be changed for each project.

To add a new service tax:

  1. Click Add Service Tax.

  2. Enter a name for the tax.

  3. Set the tax rate.

Unlike vendor taxes, there are no categories to assign for service taxes. It will be applied uniformly across the entire quote.

Important Considerations for Tax Rate Changes

Once a tax rate is created:

  • It cannot be edited.

  • Editing could retroactively affect existing quotes, contracts, and profit reports.

If a tax rate changes:

  • Delete the old rate (it remains available under View Deleted).

  • Create a new tax with the updated rate.

  • Apply the new tax to the appropriate locations.

Historical Preservation: Deleted taxes are not removed from history. They stay associated with past jobs and quotes to maintain record accuracy.

Assigning Taxes to Locations

After setting up your taxes:

  1. Go back to the Locations tab.

  2. Select the relevant location.

  3. Under Taxes, assign:

    • The vendor taxes that apply to this location.

    • The service taxes applicable.

You can assign the same tax to multiple locations, or set location-specific taxes based on local tax laws (ex: different cities, states, or zip codes).
