How to Manage Taxes in ProLine

Learn how to manage vendor and service taxes in ProLine, including setting them up, applying them to locations, and updating tax rates.

Setting Up Taxes

To set up vendor or service taxes, follow these steps:

  1. Navigate to Taxes: Go to hamburger menu (☰) > Company Settings > Locations > Taxes.

  2. Vendor Tax: Used for taxes applied by suppliers when buying items.

  3. Service Tax: Applied to the total job cost and visible to customers.

Understanding Vendor Tax

These are the sales taxes your vendors charge you. Vendor tax helps manage your price list by keeping taxes separate from the item prices. Vendor tax is based on the location and applies dynamically, but can be changed for each project.

To set up vendor tax:

  1. Go to Vendor Tax Section: In the Taxes area, locate the Vendor Tax section.

  2. Add Cost Categories: Select any number of cost categories for the vendor tax.

  3. Material Tax: Typically applied to materials, reflecting supplier taxes.

Understanding Service Tax

Service tax is an additional charge on top of the overall job price, including profit, and applies to everything within the job. You are charging your customers these taxes, and they will be shown on each customer's quote.

Service tax is based on the location and applies dynamically but can be changed for each project.

To set up service tax:

  1. Go to Service Tax Section: In the Taxes area, locate the Service Tax section.

  2. Apply Tax: Service tax applies to all job aspects, not just specific categories.

Applying Taxes to Locations

Taxes must be assigned to specific locations to ensure they are applied correctly to projects and quotes.

  1. Navigate to Locations: Go to hamburger menu (☰) > Company Settings > Locations.

  2. Select Taxes: Choose the relevant vendor and service taxes for each location.

  3. Set Defaults: The chosen taxes will be default for projects and quotes in that location.

Managing Tax Updates

Once a tax is created, it cannot be edited to avoid affecting signed quotes and projects. However, you can add new taxes to update rates.

  1. Add New Tax: If a rate changes, create a new tax with the updated rate.

  2. Delete Old Tax: Deleting a tax will hide it from your account but retain it for record-keeping.

  3. Tax Application: The taxes associated with a location determine the default taxes for projects and quotes.

If you change the service tax, it will not retroactively affect signed quotes but will update for open draft quotes.
