How to Set Up and Manage Course Applications in Proserva

Overview

In some cases, you may want learners to apply before enrolling in a course. This support article walks you through the process of enabling course applications, managing student applications, and configuring application settings.

How Learners Apply for a Course

  1. Access the Course: The learner receives a shared course link and clicks to start the application process.

  2. Complete the Application: The learner fills out the required information in the application form.

    • The form can be customized to include specific questions or data collection fields.

  3. Submit the Application: Once the application is submitted, the learner sees a message stating that their approval is pending.

  4. Wait for Approval: The course creator reviews and either approves or rejects the application. Notifications are sent to the learner once a decision is made.

Managing Applications as a Course Creator

  1. Navigate to the Course:

    • Go to the Learning Area and select the relevant course.

  2. Review Applications:

    • Open the Students tab to see pending applications.

    • Click on an application to view the details submitted by the learner.

  3. Approve or Reject Applications:

    • To approve: Write a quick message (e.g., “Congrats! You’re in”) and send it along with the approval.

    • To reject: Provide a reason or suggestion for improvement (e.g., “You’re missing some information” or “Consider taking a prerequisite course”).

    • The learner will receive a notification with your decision.

Enabling Applications in Course Settings

  1. Open Course Settings:

    • Access the course and click on Course Settings.

  2. Enable the Application Feature:

    • Scroll down to the Course Application section.

    • Select “Create a new application.”

  3. Customize the Application:

    • Add questions using various types (e.g., multiple-choice, short answer, or dropdown).

    • Include multiple pages if necessary for detailed applications.

    • Example questions:

      • Personal information (name, email)

      • Interests or goals for taking the course

      • Preferred location for in-person sessions

4. Save the Application:

  • Confirm and save the application to apply it to your course.

Sharing the Course Application

Once the application is configured:

  • Copy the course link from the course settings.

  • Share the link via email, on your website, or through other communication channels.

  • Learners who access the link will go through the application process before enrollment.

Notifications and Enrollment

  • After submitting an application, learners are notified about the status (approved or rejected) through the platform.

  • Approved learners can proceed with:

    • Enrolling in free courses.

    • Selecting a session if the course has multiple options.

    • Completing the payment process for paid courses.
