Manage imports through Automation Manager

Steps to check your Automation Manager import status and restart them if they stop running.

Automation Manager syncs data between the CRM and your on-premise accounting system, including product and sales ledger data. Imports can only be managed from the server they run on, so you'll need server access to restart or stop them. Speak to your IT team or manager if you don't have this access.

📌 Note: Automation Manager only manages on-premise integrations, such as Access Dimensions, Opera, Sage, and Exchange. If you use a cloud integration such as Unleashed, Xero, or QuickBooks, this article doesn't apply to your setup.

Check your import status

If orders aren't confirming, or data is missing from your on-premise accounting system, check the status of your imports first.

This report lists all your import schedules, including the Schedule ID and how often each import runs. Imports run either once a day or in repeating intervals throughout the day.

View an import's run history

Select View Run History to see details about a specific import, including when it last ran and whether it's currently running.

🤓 Tip: Compare the Start and End columns against how long the schedule usually takes to complete. For example, the Sales Transaction schedule updates all sales history and can take hours to finish, while the Order Confirmation schedule usually takes about one minute. If a schedule is taking much longer than usual, it may need restarting.

Check for import errors

Check the Error column in the report to see if a schedule ran with an error. Select Errors to see more detail about a specific error.

Resolved errors stay in the Integration Schedule Run Messages report as a historical record and no longer affect system functionality.

Restart your imports

If a report shows your imports aren't running as expected, restart them from your server.

⚠️ Important: You'll need access to your server to complete these steps.

  1. Open Automation Manager on your server.

  2. Click Login to connect to your profile.

  3. Click Admin, then click List of Services to view your active imports.

This shows a pop-up listing every import currently set up to run as a service.

Restart a stuck service

  • Select the service, then click Restart.

  • If every import is affected, select All Services, then click Restart All.

Stop and start services manually

  • Select a service, then click Stop or Start.

  • To stop or start every service at once, select All Services, then click Stop All or Start All.

🤓 Tip: You might see an error if you try to start a service that's already running. Stopping every service at once is useful if you're carrying out work on your accounting system and need to prevent imports from accessing the database.

Stop all services for a period of time

The Monitor controls when a service starts and stops, based on its schedule. If you stop a service while the Monitor is active, it restarts that service at the next scheduled check.

To stop all services and keep them stopped until you restart them yourself:

  1. Click Stop under Monitor to disable automatic restarts.

  2. Click Stop All to stop every service.

  3. Check the Running column to confirm no services are ticked.

Stop services for one integration

To pause a single integration without affecting others, avoid using Stop All, as this stops every integration running on your server.

  1. Click Stop under Monitor to disable automatic restarts.

  2. Select the services related to the integration you want to pause, then click Stop.


Best practices

  • Document any changes you make to the server, so you have a clear record of the actions taken.

  • Test the system after making changes, to check the desired services are stopped or restarted without unintended side effects.

  • Review your service management process regularly, to keep it aligned with current best practice.


Frequently asked questions

How do I update a Personal Access Token (PAT)?

If you can't confirm orders and can't access Automation Manager, you may be missing a Personal Access Token (PAT).

  1. Update Automation Manager to the latest version.

  2. Generate a new PAT, then apply it to Automation Manager.

This reconnects Automation Manager with your CRM and restores functionality.
