Creating and Using QR Codes for Inventory Items

Generate unique QR codes for each inventory item to manage and track items with a quick scan

Prospero lets you generate unique QR codes for each inventory item, giving you a fast and reliable way to access, manage, and track your props, costumes, equipment, and other items.

What Item QR Codes Do

When you scan an item’s QR code, you’ll be taken directly to that item’s resource page in Prospero. Here, you can:

  • Update the item’s attributes

  • View its schedule on the calendar

  • Make changes without searching manually

ℹ️ Users must be logged in to the Prospero app on their mobile phone to access the resource pages for inventory items.

Generate a QR code

To create a new QR code, go to the item in the Inventory tab and click Edit in the top right corner.

This will open the item editor, where you can generate a QR code for the item. If there are multiples of an item, such as a set of mic pacs, click the number of items at the beginning of the item row to expand it and view or edit all the items of that type.

Click on the QR code icon in the row to open the QR code generator. Here you can customize your code with your organization's logo or choose to use the Prospero logo in the center of the code. QR codes are available to download in SVG, PNG, and PDF formats to fit your printing needs. To change the format, click the Destination drop-down menu in the editor.

Printing & Tagging Your Items

Once downloaded, you can print QR codes on adhesive labels, cardstock tags, or any durable medium your team prefers. Attach them directly to costumes, props, or equipment so they’re easy to scan during productions, rehearsals, or inventory checks. Because the QR codes themselves won’t change, you can print and tag items now with confidence— changing the item details won’t require re-printing.

ℹ️ In the future, we plan to offer customizable actions like check-in/out workflows, geo-tagging, and non-admin access to item views. We built flexibility directly into item QR codes so you won't have to reprint with future updates.

Why is my QR code broken?

If a QR code leads to an error page, it is likely that the item the code is linking to does not actually exist in the Inventory. This could happen if the item was deleted, or if the item was never actually created in the first place and a QR code was generated for an empty item.

Tips for Best Use

  • Pick a consistent placement – Place QR codes in the same spot on similar items so they’re easy to locate and scan quickly.

  • Test before mass printing – Scan a printed sample to make sure the code reads clearly and links to the correct item.

  • Choose the right label material – Use waterproof or tear-resistant labels for items exposed to the elements or heavy handling.

  • Consider item size – Make sure the QR code is large enough to scan easily but not so large it interferes with the item’s use or appearance.
