Managing Customers

Track recurring customer information and bookings

Written by Naomi Fleishour

When a familiar organization reaches out about their next rental, it's helpful to have their full history in front of you: company information, who to contact, what they've booked, and what you've quoted and invoiced. Customer pages bring all of this together in one place, so you no longer have to piece customer information together from separate screens, and the same saved record powers your booking history, offers, and invoices.

➕ Creating a Customer

Click Customers in the sidebar to see your full customer list, then click +
Customer
in the upper right to add a new one. Customers are created independently of bookings, so you can add a company before they submit requests. Each row in the
list shows the customer's name, email, and phone number, with icons on the
right to edit or delete the customer, and is searchable by customer name.

🔗 Linking a Customer to a Booking

When customers are assigned to offers or invoices, their information is auto-filled on the document and the booking is added to their customer page upon approval. In the offer or invoice editor for a booking, click + Add Customer in the Customers section This opens a searchable list of your saved customers. Select the one you want to attach, and it will appear as a removable label with its company name and (if saved) address filled in automatically. Click + Add Contact to choose a billing contact from that company's saved Contacts.

Once a customer is assigned to a document, it will appear on their Offers & Invoices tab. If the booking is approved by admin, it will appear on that customer's Bookings tab.

💡 Keeping contacts up to date on a customer's page means you'll always have the right billing contact on hand the next time you generate a document for them.

🗂️ Customer Pages

Click into any customer from the list to open their page, organized into four tabs:
Overview, Contacts, Bookings, and Offers & Invoices. Click Edit in the
upper right to update a customer's company details.

📊 Overview Tab

The Overview tab is your at-a-glance summary of the relationship. Company
details
like EIN and address are shown next to quick-reference totals for Bookings,
Contacts, Total Accepted Offers,
and Total Paid Invoices. Below that, Upcoming
Bookings
and Offers & Invoices sections give you a preview of what's active, with
a View all → link to jump to the full tab.

👤 Contacts Tab

The Contacts tab lists everyone at the company you work with, along with their
title, email, and phone number. Click + Contact to add a new contact. Use
the icons on the right to view details about a contact, edit their info,
or delete them.

📅 Bookings Tab

The Bookings tab shows every approved booking linked to this customer, past and upcoming, in a sortable list with the booking name, dates, status, and revenue value if applicable. The Booking activity heatmap at the top gives you a visual display of on how frequently the customer books throughout the year. Use the arrows to move between years.

ℹ️ Currently, a booking isn't linked to a customer automatically. It's connected the first time you generate an offer or invoice for it and assign a customer. See below.

💵 Offers & Invoices Tab

The Offers & Invoices tab totals everything you've quoted and billed this
customer. Total Active Offers and Total Open Invoices are the default display so you can quickly see what’s in your pipeline, but you can change the display by selecting a different status from the dropdown in the upper right of each card: Draft, Active, Accepted, or Retracted for offers, and Draft, Open, Paid, Settled, or Void for invoices.

Each row shows the document's value, name, and last updated date, along with a status icon: the eye icon with a slash marks a Draft that hasn’t been sent to the customer yet, the yellow arrow icon marks an Active or Open document, and the checkmark clipboard icon marks an Accepted or Approved document. Offers are shown first. Scroll down to view Invoices.
