Member Connection & Onboarding
With PT Mate's streamlined onboarding process connecting with your online community is as simple as sending an invite.
Create onboarding pre exercise questionnaires that automatically send to your tribe when they connect making light work of collecting important information.
With the freedom to create business forms; from consent forms, payment forms, program selection forms or your business terms and conditions, and other forms your tribe can access and agree to through their member apps or member web portals.

Client Connection

Add a new client
On your clients page find the 'add a new client' button option.

Select your member's profile image
Select the image from the gallery, upload your own image or opt out and select no image.
Note: An image will automatically be selected from the PT Mate image gallery if left.
Add name

Do you want to send your member an email invite? You can choose to do this now or at a later stage from their profile page.

Note: Your members will add all of their own info in when they connect so you can skip past adding these details.
Once you have added their details - hit the 'add client' button.
If you set the option to send your member an invite, the invite will be sent as soon as you create their member profile.
Import client list
On your clients page find the 'import clients list' button option.

Select the 'import your existing client list' button option and find the free CSV file resource that you can download to add your client lists to.
The CSV file has already been formatted for PT Mate to read so you just need to copy and paste your clients' info.
Note: Your clients will add in all of their personal details when they connect so you only need to add their name, email address and phone number.
Manage your members!!
Active/ Inactive Client lists
Whether they're actively training with you or taking a break, you can set their ,e,ner profiles to your active and inactive lists;
With the active clients option you also have the option to send an invite to them to connect.
Inactive clients will not be notified of the import.
Note: You will still be able to send and receive direct messages to your inactive member that are connected through their member app.
Upload client lists
When you've filled the CSV file with your clients details and you're ready to import them, simply select the 'choose file' button and find your 'client imports list'.
For active clients you will also have the option to send out an email invite at the same time you add them to your active clients list (this is optional). Alternatively, you can do this at a later stage from your clients page.
For inactive clients create a separate CSV file. When uploading it turn off the 'ACTIVE CLIENTS' option, then your inactive clients will be uploaded to your inactive clients list where you can store them and still communicate with them through your in app direct messaging and group chat (when they're connected).
Note: Inactive clients won't be able to view your community page if set to inactive.
Once you send the connection invite this is the email your tribe will receive;
The connection invite email will help walk your members through downloading their member app or accessing the member web portal, creating their member accounts then automatically connecting with your business.
The email also has your connection pin details incase they require them to connect.
Note: You can update your member app connection pin in your Admin page > Settings tab.

Family Accounts
Fam, we've got you covered! 😌
Set up your family accounts, take control of bookings and billing with options for dependent accounts for the kiddies too!
On the member profile of the family member that you'd like to hold the main family account, find their 'Details' tab.
On their 'details' page in the bottom right hand corner the 'CONVERT TO FAMILY ACCOUNT' option. Tap the button option to convert account.
You have two options to connect accounts.
Add a new client profile
Add client's name
Phone
Email
D.O.B
And the option to set the account to dependent.
Note: Dependent accounts are accounts that don't have access to the member app. The main family account holder will manage all bookings for all dependent accounts.
Link an existing client
Drop down the 'select client' box, find your client's name then hit the 'link selected client' button to link the accounts.
Client Groups
Do you have different member groups? Different locations, Different membership tiers, specific fitness challenge groups, etc?
Through your clients page in your client groups tab you can create different client groups to help manage your business.
Note: You can apply your different client groups to your session templates, too!
In-app pre exercise questionnaires and forms
Create in-app pre exercise questionnaires so as soon as your members connect they'll automatically receive their onboarding questionnaire to fill out.
You're notified once they've completed it and can access them from your business web portal.
Create consent forms, training agreements, business policy and T&Cs. Payment forms, etc, the list goes on.
From your admin page in the forms & documents tab is where you can create your business forms and questionnaires.
Under the forms & documents tab find 'Create a form'.

'ON' - will prompt form to be sent automatically when your clients connect.
'OFF' - no form will be sent when client list is uploaded.
Clients can edit their response ON/OFF
'ON' - Allows your clients to edit their form responses.
'OFF' - Locks answers so they cannot be changed. Great for Agreements!

All things billing, payment processing
Through PT Mate you can collect your tribe's payment details allowing you to set up recurring direct debits and process payments.
Create products that can be purchase that can be purchased by your online community through their member platforms. Giving your even more time back to get more jobs done!
Connect your existing stripe account
Create your direct debit products ready to set your clients up with recurring payments and create your pack products with the option to allow your clients to purchase through their members app or members web portal.
Adding your clients card details is simple too!
You can add them in from the billing tab of their client profile.
Better yet have your clients add them in themselves through the member platform in their Account Settings.
To set up your billing you're going to need a Stripe Account.
Head to https://dashboard.stripe.com/ and create your account. Once created, send us a message through the in-platform chat and we can provide you a connection link to allow you to connect your Stripe account to PT Mate.

Programming, progress tracking and health logs
The more aspects of PT Mate you utilize for your business, the more PT Mate automates for you!
Using PT Mate's program builder will make it effortless to track your clients training progress and record all personal bests. Making it really easy to stay up to date with your clients training performance and achievements.
Run your training sessions using PT Mate. As you progress through your client's program with them you can record their results. Once the session is complete and you end the session, all of the training results will be saves to your clients progress tab in their clients profile.
Your programming is the meat and potatoes of your business, so we've made our program builder adaptable to the way you structure your training sessions.
You can build programs from your calendar sessions.
With the option to save them to your programs list.
Or from your Programming tab in your business web portal (also available on your business app).
Program Builder
Programming is one of the core functionalities of PT Mate. Our Program Builder makes it easy to create programs tailored to your needs, to use both in your sessions and to send to your clients.
Blocks and timers
Programs are divided into meaningful blocks. You can assign a different purpose (Warm Up, Workout, etc.) and timer to each block. PT Mate will take care of running the block and display the correct timer within the app:
Tabata: 8 sets of 20 seconds work and 10 seconds rest. You can define several rounds of Tabata if you like.
AMRAP: The timer will run down from your start time to 0. You can log the rounds and reps achieved
EMOM: Every minute on the minute. You can select each "minute" to be 60 seconds or any time interval. Options are to run an interval per movement or all movements in the same interval.
For time: Define a time cap and target rounds (optional). Once completed, you'll be prompted to enter the completion time.
Movement list
PT Mate offers a large list of movements to add to your blocks, covering most training types. Each movement allows you to either set reps, distance or reps and weight.
Create custom movements
You can also create your own custom movements while you're programming. The movement will be added to your list and you can use it immediately in your program.
Add movements to your blocks
You can either directly search for the movements you want to add or select from a list, filtered by equipment.
Configure your block and movements
Once you've added your movement, you can set reps and weight. For multiple rounds you can set both individually, e.g. 21-15-9. PT Mate will take care of displaying it correctly when running the session and logging your results.
Fitness Assessments
Run fitness assessments with benchmark programs. By recording their results it automatically updates and saves to their health and progress logs for easy access to client performance.
Programs are at the centre of your training. Benchmark Programs allow you to track your clients' progress over time by logging and comparing their results in both your sessions and training sessions your clients do in their own time.

You can program using our Program Builder on both the Business Web Portal and your business App.
Benchmark program specifics
When modifying a program you essentially create a new version of your program. This means that - if you used it in the past - you won't be able to track your clients' progress as it will be handled as a new program.
Use your programs in sessions
Attach your programs to your sessions, or create a specific program for your session. This allows you to run your sessions directly through PT Mate and log your clients' results.
Please note that you can't modify Benchmark Programs in your sessions because otherwise it wouldn't allow you to track your clients' progress adequately.
Tracking your clients' progress
Both you and your clients can track progress and compare different session results over time.
You can do so in the Progress tab in your Client Details, and your client can access the information on the Training tab in their Member App.
Send individual programs and training plans,
Send programs to your fitness community directly through your business platform.
Once your program is built you have options that allow you to update, duplicate and manage them.
Once you have built your programs you can open them from your programs list in both business app and web portal.
At the bottom of the program you have 6 different button options
EDIT PROGRAM - Allows you to edit the program.
Note: This will not change programs already sent.
PRINT - Allows you to save to your device as a PDF file and print a hard copy of the program.
ATTACH TO A SESSION - Allows you to attach the program to any upcoming session in your calendar.
SEND TO MY CLIENTS - Allows you to send to one or multiple clients who are connected to you through their member apps or member web portals.
Select client(s) then 'send to selected'.
Note: You will get a push notification when your client(s) start their program and you will be able to track their progress automatically once they work through the sessions and add their training results.
DUPLICATE THIS PROGRAM - Allows you to duplicate the entire program.
Note: You will be able to amend and use as an entirely separate program without it affecting the original program.
DELETE PROGRAM - Allows you to remove the program from your programs list.
Note: Once deleted you will not be able to obtain it again unless you recreate it.
Run a session from your Member app or member web portal
Member access to programs
As soon as you send a program to your clients they will receive a push notification through their member apps notifying them.
Your tribe will be able to find their programs in the flame icon of their member platforms.
Note: You will be able to track all of their training performance and progress through their progress tab in their member profiles.
Send training plans
Create entire training plans that you can send to your fitness community to complete on their own from anywhere!
You can access your training plans from the training plans tab in your programming page in your business web portal and business app.
On the page you will see the following;
Name - Program name (name displayed in the member app)
Description - A description of the training plan
A video link to a connected video, ie; youtube, vimeo (optional)
Included 1:1 personal training session credits - useful to use for assessment bookings or great if you offer personal training sessions with your training plans.
Next is the first week of your program day 1 to 7. To start each day is set to a rest day, once you start adding programs that will update too!
Hover over the day you want to add a program to, a pop up will display with 2 button options.
ADD EXISTING PROGRAM
This button will take you to your programs list to select a program to add to the program.
CREATE A NEW PROGRAM
This button will open your session templates page where you can select a session template, or start building from scratch.
Note: You cannot save programs in your training plans list to allow you to reuse or duplicate.
PRO TIP: Create your programs from your programs list to allow you to use it freely.
You can add multiple programs to each day.
By hovering over the program options display to help you manage the program.
Edit - to edit that specific program
Duplicate - to duplicate the program
Delete - to remove the program from the plan completely
Continue to build your first week of the program
Once the first week of the program is complete you can move on to the next either;
DUPLICATE - Will create a duplicated copy of the training plan
Track performance and training compliance
Once you have created your full training plan you are ready to send it to your client through their member apps.
Your tribe will be able to access their training plans from the Programming tab in their member apps and member web portals.
As your tribe do complete the programs inside their training plans you will be notified and you will be able to view and track their commitment to their training here in their training through your PT Mate business web portal.

By entering in training results PT Mate tracks all results in your clients progress tab.

PT Mate has made it easy to track your online community's health progress.
meet with your tribe online or have them create new health logs.

To create a new health log - open a client's profile and find the 'Health' tab.
Select the 'New health log' button option.

When creating your clients health logs there is an option for progress photos
Note: Once you have multiple logs created, the progress photos will display so you can compare them with one another.
An overview of their weight, body fat%, resting heart rate, blood pressure, options for your own custom measurement you'd like to track, any extra log notes or information and their segmental circumferences. Once complete, hit the 'CREATE LOG ENTRY' to save.
Once the health log is saved the information will save to their health page to give you all of the health information you need to be able to help your tribe exactly how they need.
Habit Tracking
We know that progress requires consistency and creating healthy habits are the stepping stones.
Create personalized habits for your tribe that send daily reminders. Receive updates when your tribe check off their daily habits and view habit notes and updates.
Your tribe will be able to view and manage habits from both their member apps and member web portals.
All entries will update for you to track through your business web portal.
In-platform community page
Keep your tribe together! With PT Mate's in-platform community page you can share posts and images that your tribe can react and reply on. Perfect to share business updates, upcoming events or challenges, or simply to celebrate members of your online fitness community.
Enable your community page from your Admin page, in the settings tab.
On your Activity page open the Community tab.
To create a post - hit the 'Create a new post' button and write your post.
Note: You can expand the text box by pinching the bottom right corner of the text box with your cursor.
Add an image. Select the 'choose file' button to access your pictures. Once selected hit the 'Create a post' option to share post.
Allow your members to post.
Open your Admin page and select the settings tab. Under the 'Community' drop down, enable the 'client posts' option - Allow clients to create new posts.
This will allow your fitness community to create posts that you and the rest of your tribe can interact with.
Group chat & direct messaging
Send private messages to individual members or create different chats that you can communicate with selected members and / or other staff members, all from within your PT Mate platform.
From your business web portal in the top right corner, find the message box icon. Tap to open and you'll see a list of your clients.
At the top you have the option to create 'NEW GROUP CHAT'.
Add name
Select the staff and members to add to the group chat then 'CREATE CHAT' to save. Note: All chat threads are cleared every 30 days.
For direct messages - you can hover over a message to have a 'SAVE TO NOTES' button appear. Hit that button and the message will save to that client's notes section in their Details tab in their client profile.
