Ashby Integration

Setting up Ashby to work with Pudding

Written by Josh Priollaud

What the integration does

Invites Candidates to Pudding assessments from Ashby's interview plans and adds a link to each candidate's profile in Ashby directly linking to work demo videos in Pudding.

Who does what

A Pudding account-holder at the Organization Admin level connects Ashby once. After that, the integration is available to everyone in their organization.

  • Organization Admin (once): connects Pudding to Ashby.

  • Hirer, Team or Organization Admin in Pudding: imports jobs and launches assessment campaigns, called Concerts.

  • Anyone in Ashby who manages the job: adds the Pudding assessment to the interview plan and moves candidates to that stage.

  • Anyone in Ashby who can see the candidate: sees a link to the assessment. Opening the full engagement in Pudding requires an Admin or Reviewer role for that Hirer.

1. Connect the two accounts (in Pudding + Ashby)

  1. In Pudding, open ATS in the sidebar and select the Ashby tab. Copy your Pudding API Key.

  2. In Ashby, go to Admin → Integrations → Pudding and enter the Pudding API key.

  3. On the same Ashby page, select Create API key. Ashby assigns the scopes Pudding needs.

  4. Back in Pudding, paste that key into Ashby API Key and save. Pudding tests the key before saving it, then shows Key connected.

2. Import your jobs (in Pudding)

Go to Concerts and select Import Jobs from ATS. Choose Ashby, pick the Hirer who will manage these jobs, and select Import.

3. Launch a Concert (in Pudding)

In the jobs table, select Engage on the job and choose a Proof. Once the Concert is launched, Ashby lists it as an assessment type.

Note: To see status updates in Ashby, leave Anonymize & Mask Candidates unchecked. Pudding sends nothing to Ashby for anonymized Concerts.

4. Add the assessment to your interview plan (in Ashby)

  1. In Ashby, go to Jobs → Jobs and open the job.

  2. Open Interview Plan, then select Add Activity on the stage where the assessment belongs.

  3. Choose the Pudding integration, then choose your Concert as the assessment type from the dropdown.

Pudding emails the candidate an invitation to Pudding and their Pudding account is pre-populated with the assessment.

5. Track progress (in Ashby)

The assessment's activity details on the candidate's Ashby profile show:

  • Status: the candidate's current status in Pudding (for example, delivered).

  • Pudding Engagement: a link that opens the engagement in Pudding for review. You need an Admin or Reviewer role for that Hirer to open it.

Cancelling

If you cancel the assessment in Ashby, Pudding closes the candidate's engagement. If the candidate has already started working, they are still paid for the current stage. Pudding's offer to the candidate is binding once work begins.

Troubleshooting

  • Pudding rejects the Ashby API key: create a new key from the Pudding tile in Ashby. Keys created elsewhere don't have the right scopes.

  • The Concert doesn't appear in Ashby: make sure it has been launched. Cancelled Concerts are not listed.

  • No status updates in Ashby: check that Anonymize & Mask Candidates is off for that Concert.

  • The Pudding Engagement link won't open: ask your Organization Admin to add you as an Admin or Reviewer for that Hirer.
