How Reservations Work in Punchpass

Punchpass makes it easy to manage class reservations from anywhere. Customers can book themselves online, whether they're at home or on the go, and you can create or manage reservations for them whenever needed.


Making a Reservation for a Customer

If you need to create a single reservation for a customer, you can add them to a class directly or make the reservation from their customer account.

How to Add a Customer to a Class

You can create customer reservations by navigating to a class details page and pressing the Add a New Reservation button.

Have a Drop-In?
The best way to handle drop-ins is to create a reservation for the person in the class and assign them a pass if necessary. ​Here's more information on how to handle drop-ins

How to Make a Reservation From the Customer Account

  1. Navigate to the customer account. From your customer list, click on a customer's name.

  2. Scroll down to the Reservations in Upcoming Classes section, click the + Reservation button.

  3. Pick the class and time to make their reservation! This page is organized to have any series you offer listed first, followed by a list of all of your upcoming classes, so you may need to scroll down the page.

  4. Press the Register [Customer name] for Selected Classes button to save.


Making Multiple Class Reservations for a Customer

There are a few different ways to make multiple reservations and book favorite class times for customers.

Make Multiple Reservations from the Customer Account

If a customer would like to book a few different class times, including waitlisted classes, this is a great tool.

Navigate to the customer account and scroll down to the Reservations in Upcoming Classes section, click the + Reservation button.

You'll now be on the Create Reservations page for the customer.


You'll see your upcoming classes listed there, and you can check off the boxes for whichever classes they'd like to reserve... whether that's one class or many!

  • Use the search feature to filter the classes; for example, typing 'surfing fundamentals fri' will filter the list display only those classes.

  • Select the class times

Once you've found the right classes:

  • Select the option to send a confirmation mail.

  • And press the Register Customer for Selected Classes button to save.

We'll highlight if they already booked into a class, and if the class is full you can add them to the waitlist.

Create Standing Reservations to Pre-book a Favorite Class Time

Standing reservations allow you to make a recurring reservation for a customer's favorite class time. Please note this tool won't book a student into a class that's already full.

Two ways to create a standing reservation for a customer:

  1. From the customer account, press the +Standing Reservation button;

  2. Visit an upcoming class page from the Schedule, click the Actions dropdown, and select Add Standing Reservations— a great option when you need to create multiple standing reservations for the same class time;

  3. Or, navigate directly to the Standing Reservations Report (Reports > Standing Reservations, and press the +New Standing Reservation button.

Turning Off Public Reservations

Want to display a class on the schedule, but restrict the public from making online reservations? This setting is great when you're prepping a future class, or simply want a personal touch by screening who reserves a spot.

Customers will still see the class on the schedule, but won't be able to register themselves– they'll need to work with you directly, and you can manage their reservations while logged in to Punchpass.

To adjust your class settings:

  • Navigate to Manage > Classes, select the class, and from the Actions menu, press Edit.

This opens a class details page and over in the Reservation Settings, turn off the option to accept reservations for this class. Press Save.
