Manually Enroll Employees in a Flow

Want to send a message to a specific group (ex: a training cohort or one-off employee list) without setting up complex rules? Manual enrollment lets you do exactly that. Here’s how to do it, step-by-step.


When to Use Manual Enrollment

Use manual enrollment when:

  • You have a specific list of employees (like a one-off cohort)

  • You want to reuse an existing flow with new recipients

  • You need to test a flow before automating it

  • You’re sending a one-time message, such as a reminder or a manager essentials kickoff


Step-by-Step: How to Manually Enroll People

Step 1: Create or Open a Flow

  • Go to the Flows section in Pyn.

  • Either create a new flow or open an existing one you want to use.

💡 A flow is simply a sequence of messages tied to a specific moment (e.g., onboarding, training, benefits communication).


Step 2: Switch Flow to “Manual Enrollment”

  • Inside the flow, find the Delivery Settings.

  • Choose Manual Enrollment as the flow’s delivery method.


Step 3: Set the Reference Date

  • This is the "anchor" for the flow’s timeline (e.g., the date the training starts).

  • Messages in the flow will be scheduled based on this date (e.g., “7 days after reference date”).


Step 4: Add People

You have 3 options:

  1. Search & Select

    • Type and select names of individual employees.

  2. Paste Emails

    • Paste a comma- or line-separated list of email addresses directly.

  3. Upload a File

    • Upload a .csv or .xlsx file with a list of email addresses.

Pyn will automatically match the emails to employee profiles.


Step 5: Confirm Enrollment

  • Review the list of matched employees.

  • Click Confirm to enroll them.


Step 6: Verify or Go Live

  • By default, new flows are in Verify Mode. You can:

    • Preview each message before it sends

    • Batch-verify if everything looks good

  • Or, toggle to Automated Mode to send messages immediately based on your schedule.


⚠️ Things to Keep in Mind

  • Manual enrollment overrides filters. If you enroll someone manually, Pyn won’t check if they meet the usual audience rules.

  • If you need to send a Slack message “from” someone (e.g., HR), that sender must first authenticate via the Settings > Senders tab.

  • Messages can be sent via Email, Slack, or both—depending on how your flow is configured.


Pro Tip: Reuse Flows for Different Cohorts

Running the same training monthly? Just:

  1. Reuse the same flow.

  2. Upload a new list of participants.

  3. Update the reference date.
