Choose the Audience for your Flow

Learn how to set up filters on your automated flow

Getting the right message to the right people at the right time is the foundation of a great employee experience. In Pyn, “setting the right audience” means using your employee data and journey mapping to ensure each message feels personal, relevant, and timely. All while not adding manual work for your team.

After you create your flow, you can choose to add a filter at the automation level. This allows you to only include or always exclude employees based on a certain demographic from your HRIS or lifecycle stage (like Onboarding).

For example, you may want to exclude contractors or contingent workers from your Onboarding automation because the information is irrelevant to them. The instructions below walk through how to ensure that a specific group is excluded from your flow.


Step 1: Define Your Audience Segments

Before you set up filters, know who you’re talking to and what information is available within your HRIS. In Pyn, you can filter by:

  • Demographic information (ex: Department, Location, Level, etc.)

  • Standard Lifecycle groups (ex: Joiner, Current, On Leave, Terminated)

Step 2: Apply Filters to Your Flow

In the Flows tab, use filters to ensure each automation is targeted:

  1. Select your desired workflow from the Flows tab (e.g., First Day Employee).

  2. Click on the Moment trigger (e.g., Start of Onboarding)

  3. Select the Audience tab in your right-hand panel

  4. Adjust the Lifecycle group if necessary.

  5. Add Groups to include or exclude. These filters will determine who is or is not enrolled in your Flow. For example, if you are excluding Location: San Francisco, no San Francisco-based employees will receive the messages in the Flow.

👉 Note: An exclude filter overrides an include filter.

Step 3: Test Before You Launch

Preview your audience to ensure the filter is pulling the right people. Keep in mind the employees displayed in the preview just match the filters, not the moment.


Tip: Check the Directory view to confirm who’s currently in that moment and whether they’re assigned to your Flow.

Step 4: Monitor and Adjust

Once your flow is live, use the Activity tab to:

  • Track who’s received messages

  • See skipped or missed communications

  • Identify gaps (e.g., unassigned moments or missing attributes)

🚨Don't forget to Publish your changes once you're done editing your Audience filters.
