Connecting Pyn to Google Calendar lets you automatically create and send calendar invites as part of your workflows - like 1:1s, onboarding check-ins, and manager meetings. Once connected, Pyn keeps events, invites, and time zones in sync for you.
Step 1: Connect your Google Calendar
In Pyn, navigate to Settings and then Calendars.
Select the blue Add button in your top right.
You’ll be prompted to sign in to a Google account.
Review and accept the permissions.
Pyn requests access to list your calendars and view and edit calendars you own.
This allows Pyn to create and manage events on your behalf.
Once permissions are approved, you’ll be redirected back to Pyn.
Step 2: Choose which calendar to sync
After connecting, you’ll be asked to select a specific calendar.
Why this matters:
You don’t have to use your personal calendar.
Many teams choose a shared or company calendar (for example, “People Ops” or “HR Meetings”) to keep things organized.
Behind the scenes, Pyn will sync to the calendar you select.
💡 Tip: Syncing can take a few minutes. Refreshing the page usually resolves it.
Step 3: Use calendar events in a Flow
Once your calendar is connected, you can use Invite to calendar event actions inside a Flow.
Go to Flows in Pyn.
Open an existing Flow or create a new one.
Click on Add a step and select Invite to calendar event
Select the Google Calendar event you want to use.
You can choose:
A one-time event
A recurring event (for example, a weekly 1:1)
A specific occurrence or all future occurrences of a recurring meeting
Step 4: Enroll someone and send the invite
With the Flow set up, you’re ready to enroll participants.
Publish the Flow.
Enroll an employee (or test with yourself).
When the Flow runs, Pyn will:
Send a calendar invite to the participant’s email address
Add the event directly to the connected Google Calendar
FAQs
When I see the list of meetings, are those only recurring events?
Yes, Pyn currently surfaces recurring calendar events in the selection list. Some events may look unfamiliar at first, but they’re typically recurring meetings you already have on that calendar.
Why am I asked to select a calendar during setup?
After connecting Google Calendar, you’ll see a short step where you choose which calendar to use. This helps you avoid accidentally using a personal calendar and makes it easy to connect a shared or company-wide calendar instead.
