Configure a Custom Email Sender (Pyn 2)

Sending automated communications from a recognizable, trusted sender name and address—such as an HR team alias, internal operations group, or department head—helps increase employee open rates and maintains brand consistency across your workflows.

Follow this guide to add, verify, and activate a custom email sender address in Pyn.

Prerequisites & Permissions

Before getting started, make sure:

  • You have Admin access to your organization's Pyn account.

  • You have direct access to the inbox of the email address being added, as you must click a one-time verification link sent to that inbox.

Step-by-Step Setup

Step 1: Open Senders Settings

  1. Click Settings in the bottom-left navigation bar.

  2. Under the Senders section in the sidebar, select All.

  3. The screen will then show a list of all currently configured senders across your organization along with status.

Step 2: Add a New Email Sender

  1. Click the blue Add button in the upper-right corner of the screen.

  2. Select Add Email Sender from the dropdown menu.

  3. In the modal that appears:

    • Sender Name: Enter the display name recipients will see (e.g., Employee Experience, People Operations).

    • Email Address: Enter the exact email address you want messages sent from.

  4. Click Add.

Step 3: Trigger the Verification Email

  1. After submitting the details, a summary panel will open on the right side of the screen displaying the status as unverified.

  2. Click Send Verification Email.

  3. A banner will confirm: "Verification email sent! Check your inbox and click the link to verify."

Step 4: Verify the Email Address

  1. Open the inbox of the email address you just entered.

  2. Locate the verification email from Pyn (notifications@pynhq.com) with the subject line "Verify your email address".

  3. Click the Verify Email Address button inside the message.

  4. In the browser tab that opens, click Verify Email. You will receive a confirmation message stating "Email Verified". You can now close that browser tab.

Step 5: Confirm Active Status in Pyn

  1. Return to your Pyn tab.

  2. Check the sender details panel to confirm the Verified field displays true.

  3. In your main Senders / All list, the new sender will now appear with a green Active badge and is immediately ready to use in your automated flows and messages.

Troubleshooting & FAQs

Why haven't I received the verification email?

  • Check your spam/junk folder or shared inbox filters.

  • If you are using a Google Group or shared distribution list, verify that external emails from notifications@pynhq.com are permitted.

  • Click Send Verification Email again from the sender details panel to generate a new verification link.

Can I edit the Sender Name or Address later?

  • You cant update the display name anytime or change the email address after setting it up. The work around is to create a new sender entry and verify then archived the old sender.
