Connect to HiBob (Pyn 2)

Integrating HiBob with Pyn allows you to automatically sync employee data to power moments, journeys, and automated flows—from onboarding new hires and celebrating work anniversaries to delivering manager nudges.

The connection uses HiBob's API with Service User authentication, running in the background to ensure your Pyn Directory is always accurate and up to date.

What You'll Need Before You Start

  • HiBob Admin Permissions: Access to generate a Service User and manage permission groups in HiBob.

  • Pyn Permissions: Admin or Owner access in your Pyn 2 workspace.

  • Credentials to Gather:

    • HiBob Service User ID

    • HiBob API Token

Step 1: Set Up the Service User in HiBob

To allow Pyn to read employee records securely, configure a dedicated Service User in HiBob:

  1. Log in to your HiBob account as an Administrator.

  2. Navigate to Settings > Integrations > Service Users (or create a Service User under your API settings).

  3. Create a new Service User (e.g., named "Pyn Integration").

  4. Copy and securely save the Service User ID and API Token generated by HiBob (you will need these in Step 3).

Step 2: Grant Permissions in HiBob

Pyn requires read-only access to your employee directory and standard demographic categories to map fields correctly:

  • Features: Access to People > Directory.

  • Access Data For: At minimum, select Lifecycle = Employee (and Lifecycle = Pre-hire / Onboarding if automating pre-onboarding moments).

  • People's Fields (View Access): Grant View permissions across the following field groups:

    • About

    • Address

    • Basic Info

    • Employment

    • Home

    • Jobs

    • Lifecycle

    • Personal

    • Personal Contact Details

Note: If you explore custom use cases or require custom demographic properties, additional fields can be mapped as needed.

Step 3: Connect HiBob in Pyn 2

Once your Service User and permissions are configured in HiBob, complete the connection inside Pyn:

  1. Log in to your Pyn account.

  2. In the left navigation menu, click Settings (gear icon) at the bottom left.

  3. Click Integrations, then select the Available tab.

  4. Locate and click on the HiBob tile.

  5. In the pop-up modal, enter:

    • Service User ID

    • API Token

  6. Click Connect.

Step 4: Confirm Connection & Verify Data

  1. Status Confirmation: After connecting, HiBob will display under Settings > Integrations > Installed with an Active status.

  2. Initial Sync: Depending on the size of your company directory, it may take a short time for employees to appear while the initial background sync completes.

  3. Verify in Directory: Navigate to the Directory tab in the left sidebar to confirm employee profiles, start dates, job titles, and manager relationships are syncing cleanly.

How the Sync Works

  • Sync Schedule: Pyn automatically pulls updated information from HiBob on an hourly schedule.

  • Read-Only: Pyn only reads employee records from HiBob; it never writes back to or modifies your HiBob data.

  • Automatic Retries: If a temporary network interruption occurs, Pyn retries the sync automatically.

  • Sync Logs & Alerts: Every sync event is recorded in the History tab under your HiBob integration settings in Pyn. If a persistent failure occurs, an alert state is flagged for your workspace admins and Pyn support.

Troubleshooting

  • Missing Employees or Incomplete Fields: Verify that your HiBob Service User has view permissions enabled for all required field categories under People's Fields and that lifecycle access includes all necessary employee stages.

  • Integration Flagged "Needs Attention": If credentials expire or are rotated in HiBob, Pyn flags the integration under Settings > Integrations > Needs Attention. Click the tile to input the new API Token and re-authenticate.
