How to upload employee data manually

You can use a spreadsheet to import and update your employee data in Pyn

Creating your spreadsheet

To import your employee data into Pyn, create a spreadsheet in .XLSX, .XLS, or .CSV format.

Your spreadsheet can be simple - just three columns with "Email", "Name", and "Manager Email" as the column headings. The columns should have the following information:

  • Email - employee email address

  • Name - employee preferred name

  • Manager Email - employee's manager's email address (this column is optional)

You can also choose to include employee start date and time zone information as well. This will help you to leverage Pyn's timing and automation features.

For help with how time zones should appear in your spreadsheet, see this list of time zones for the timezone name to include. For date format, you can use YYYY/MM/DD (preferred), MM/DD/YYYY, or DD/MM/YYYY, and Pyn will automatically determine the date system you are using.

Importing your employee data for the first time

Now that you have your spreadsheet, you can upload your employee data into Pyn.

  1. Log in to Pyn.

  2. Select the "Employees" tab on the left-hand side.

  3. Select "Upload" and choose the updated spreadsheet.

  4. You'll see a pop-up that lists all the changes the spreadsheet contains.

  5. Select "Apply" and your employee data will be uploaded.

  6. You're done!

Downloading your existing employee data

Need to make updates to your employee data?

To make it easier, you can download your data from Pyn and edit that spreadsheet.

  1. Log in to Pyn.

  2. Select the "Employees" tab on the left-hand side.

  3. On the top-right, you'll see some ellipsis "..." dots. Click that and select Download. You have the option to download a CSV or Excel file.

  4. Your current employee list will download.

Uploading an updated file

After you have downloaded your existing employee data, you can add, remove, or change any entries in the spreadsheet as required. Then:

  1. Log in to Pyn.

  2. Select the "Employees" tab on the left-hand side.

  3. Select "Upload" and choose the updated spreadsheet.

  4. You'll get a pop-up that lists all the changes the spreadsheet contains. You will see new employees, removed employees, and any changes.

    • Note: Each change has an "x" to the side. Clicking this "x" removes that particular change from this upload. Generally, you'll want all changes, so this can be skipped.

  5. Select "Apply" and the changes will be uploaded.

  6. You're done!
