This document contains an overview of how to add and manage users in Qokoon.

Introduction

The Manage Users section allows you to add users to a company you have added to Qokoon and give them specific user rights to use/view that company in Qokoon.

1. Adding a Company

After you have created an account you can add a company from your Xero, QuickBooks or any other accounting software we are/will be linked to (or our Excel Upload capability).

You can add as many companies as you want by clicking the Add New Company button on the top right of your My companies page (see ❶ below).

Note that every company you add will have a free month trial, after which you will have to select a paid plan or use our Free plan (with reduce feature access).

2. Accessing Manage Users

You can go to Manage Users from any Qokoon page just by clicking on your User Name on the top right of the screen and selecting Manage Users (see ❷ below).

3. Adding, Editing and Deleting Users

You can grant access to users to the companies you have added to Qokoon.

Once in Mange Users, to add a user to any company in your Qokoon account, you have to click on Invite a user on the top right of the screen (see ❸ below).

Your Manage Users page will show the users you have invited plus any pending invites.

Once you click on Invite User you will see a screen as the one below, where you can invite a user by sending them an email and a personal note (see ❹ below).

On this page you can also assign a new user different roles for different companies. You can also select which features the user can see (see ❺ below).

As a company Owner (i.e. you have added the company to Qokoon) you can assign a new user either an Admin or Viewer role (see User Roles section below for explanation of user rights).

Once you have made your choices as per the above picture, you just need to click Send Invite at the bottom of the page.

You can edit (change) user roles by clicking edit next to any user in the Manage Users page. You will be taken to a page similar to the screenshot above. Once you make your edits you just need to click Update Permissions at the bottom of the page.

You can delete any user by clicking the “X” under Delete next to any user in the Manage Users page.

4. User Roles

There are three user roles. The table below explains what each role can/can’t do.

* Adding a company makes you the owner of that company. You can have different roles for different companies (i.e. you can be the Owner of a company you have added but Admin/Viewer of a company someone else has given you access to.

** Also removes access to that company to all other users.
