Add Transport products to an offer

Use a transport product to present all types of transport options with an itinerary

Written by Antoinette Edwinson

Transport products can be used to offer transport options such as: flights, trains, a coach or other types of transport. A travel itinerary can also be presented in an Offer when using transport products.

For easy input of flight information, Qondor also supports a copy and paste from Amadeus, Galileo and Sabre for flight information.

Create a transport product

When you have created your offer, you can start adding products.
Click the plane symbol at the bottom (alt+2 on your keyboard) or if you have existing products click the three dots to drop a transport product into a specific row.

💡 Tip: Hold Ctrl and click +✈️ to add a transport product and go straight into full product edit mode. (This is where you can add segments for travel itineraries, images, description and so on.)

Complete transport product information

If you are not already in full edit mode, click onto the product name to open the following:

General and pricing

  • Add a name to the product that clearly states what the product is and makes sense internally and to your customer.

  • Activate on: Offer will be automatically checked. If you use forms and you want to reuse this product later on a form registration, you can check this option at any time to enable reuse.

  • Product category: Product category can be amended here. (This may not be available in your office. Refer to your internal routines.)

  • Name on invoice (optional): Only enter text here if you are using another product name on the invoice than the product name in Offer admin.

Product internal remarks

Project managers can save internal remarks for products in Offer Admin. This makes it easier to keep track of important details—like supplier information or internal notes—while ensuring colleagues can access the same information when viewing an offer.

Common scenarios:

  • Special requests: document client-specific needs (e.g., "Business class flights for CEO").

  • Internal handover notes: share updates for team continuity (e.g., "follow up with supplier on transport availability").

  • Error tracking: flag and resolve issues (e.g., "price discrepancy in supplier quote—awaiting correction").

  • Collaboration notes: share internal feedback (e.g., "review this contract for compliance before approval").

How to add product internal remarks:

1. From Offer admin (the quickest way!).

  • Click the three dotted menu

  • Click "Product internal remark"

  • Add your remarks and remember to save!

2. From full product edit mode.

  • Go into the product by clicking the product name.

  • In the first tab, "General & pricing", scroll down the page to "Product internal remark".

  • Add your remarks and remember to save!

A notes icon indicates when product internal remarks are saved on a product. This makes it easy for your colleagues to spot.

You can hover over it to get a preview of the remarks or you can click on it to edit or view the remarks in full directly from Offer admin.

Pricing

  • Offer Quantity: Enter the applicable product amount, e.g. number of tickets.

    • If applicable, define the Billing model.

    • If applicavle, enter any expected Commission.

    • If applicable, enter an initial rate to present Savings to the customer.

  • Click add pricing to input prices.

  • Select the correct VAT article and input in and out prices in the pricelines.

    • In excl. VAT is your cost or purchasing price with the supplier excluding VAT.

    • Out excl. VAT is your sales price to the customer excluding VAT.

Segments

Manually add a time schedule

Click Add segment and enter the details in the required fields.

Each segment has a departure and an arrival country. Pick a location from the search and its country is filled in for you. If you type your own location, like “Oslo bus terminal”, choose the country from the list next to it.

Make segments mandatory for invoicing

To get the VAT right on an invoice, you need to know where a journey starts and ends. Your office can require every transport product to have a route before it’s invoiced.

Switch it on in Office settings, under Modules, by ticking Segment is mandatory when invoicing. Once it’s on, a transport product can only be invoiced when it has at least one segment with both a departure and an arrival country. On the customer offer invoice, a transport line without a complete route is greyed out and tells you what’s missing.

Good to know: this setting is off by default. Once it’s on, every transport product that hasn’t been invoiced yet needs both countries the next time it’s saved, including from the form builder.

Import flight information

To import flight segments from your GDS, click Import from Amadeus, Import from Sabre or Paste Galileo flight data, depending on which GDS provider is activated for your office. You can activate providers in Office settings, on the General tab, under Paste flight data.

Importing flight data from Amadeus

Qondor can read the standard Amadeus PNR display and the availability display.

A typical flight segment looks like this:

1 EK 002 Y 15APR 3 LHRDXB HK1 1425 0025+1 1A/E

Qondor supports flight segments with any standard Amadeus status code, such as HK1, DK1 or SS2.

The PNR does not need to be named, saved or retrievable. You can also paste straight from an availability display, before anything is sold.

You can paste the entire PNR display. Qondor will identify the supported flight segments and ignore other information, such as passenger names, phone fields, ticketing lines, OSI, remarks, hotel or car segments and header lines.

Importing flight data from Sabre

Paste a Sabre PNR into the transport product and Qondor brings in the flight numbers, airports, departure and arrival times and the booking reference. Next-day arrivals are included.

You can paste the whole PNR display. Qondor reads the flight segments and ignores other lines, such as passenger names, phone numbers and ticketing lines.

💡 Good to know: if you paste more than one PNR at once, only the first one is imported.

Tickets

If your office is using Qondor's ticket API, then you can automatically add tickets issued in Amadeus to a transport product. You are able to adjust the ticket sales price and also invoice tickets, as long as the product and ticket's out price matches.

You should be informed internally about this process, but if you want to learn about how tickets work - you can check out this article here.

Offer configuration

DISPLAY NAME
Name on offer: If you want to display a different product name to your customer than the one used internally in Offer admin, you are able to enter text here.

SETTINGS:

Offer status (can also be set via Offer admin): This indicates the status of the product, as responded to on the offer. You can expand the dropdown if you need to override the product status on the offer. This could be in the case that you have received an answer from your customer by phone or email and you need to make the change yourself.

Published (can also be set via Offer admin): A checked box indicates if the product is published on the offer. Publish or unpublish the product from here.

Mandatory: If the offer cannot be accepted without this product, then you can choose to make the product mandatory by checking the checkbox. (The accept button will no longer show on this product.)

Hide price table: Enabling this will hide the price table along with the accept button. Only the image and description will be displayed. Check this option if you want to present this product as an information only product. (This option will not be available if the product is within a product group.)

Hide feedback section: This will hide the 'Send feedback to Project manager' part of the product. Customers will not able to comment on the specific product in the offer.

TERMS & CONDITIONS
If the product has its own terms & conditions separate to the overall offer terms & conditions, then we recommend including this here. You can either manually enter the text or upload an existing file.

Offer design

IMAGES
If you want to make your offer more visual and provide more information about the product, then you can add images and a description here. We strongly recommend adding images to make your offer more appealing to engage customers and provide them with a better sense of what is being offered. Qondor has 5 image templates in Offers available for use, including an image slider (which alternates images automatically). All you need to do is select the template you'd like to use and upload your image(s).

💡 Check out the Image templates and image sliders article for tips on how to best present your images or include an image slider.

Introduction: Text entered here is displayed directly under the product name and images in the offer. (If using a product group, then this text will be hidden within a 'read more' button in the price table.)

Description: Text entered here is hidden within a 'read more' button and is useful for displaying less crucial information. This is also useful if you want to include more product information but want to keep the offer compact.
