Navigating Sales Invoices in Quartz

The Sales Invoices Batches screen in the main screen to be able to manage your sales invoices in Quartz.

  • Pending Batches are Batches that have been created, but not yet run.

    The 'Status' column is able to be filtered and sorted to show Pending batches only- with the ability to export results to Excel

Actions

Edit – Make changes to the batch.

Run – Run the batch. Once run, the batch will move to the Completed Batches tab.

Add – Add timesheets to the batch.

Reports – Export a Batch Summary Report as an Excel spreadsheet containing details of each timesheet included in the batch.

Edit Batch Label – Rename the batch label.

Delete – Permanently delete the batch

Deleting a batch will remove the batch, but the associated timesheets will return to Unbilled Timesheets, so no timesheet data will be lost. However, if invoices have already been generated by running the batch, those invoices will also be deleted and their numbers cannot be reused. Exercise caution when deleting a batch that has produced invoices, especially if they have already been sent to clients or reported in your financial system.

Complete Batches Tab

Once a batch has been run, the status will show as 'Invoiced'.

View – View the Sales Invoice Batch.

Re-send Invoices – Resend invoice emails to clients.

PDF Bulk Download – Download the entire batch as a PDF.

Reports – Access the Reports menu.

Edit Batch Label – Edit or rename the batch label.

Delete – Deletes the invoice batch. This does not delete the associated timesheets, but it will delete any invoices that were generated. Note that deleted invoice numbers cannot be reused.

Unbilled Timesheets Tab

Any timesheets that have not yet been billed will display in the User Timesheets screen with a status of 'Unbilled'.

The unbilled timesheets will group by Client, and can be viewed via the actions icon.


Each column on this page can be searched, sorted, and exported.
