To create a new Supplier navigate to the Supplier area, and press CREATE.
Complete Base Info Tab
Complete the fields within the Base Info tab, and press SAVE to finalise
Supplier ID: Automatically populated as a unique identifier within the system
Supplier: Mandatory – enter the name of the Supplier
Organisation Reference: Optional – enter in the Agency Reference for the Supplier
Supplier PL Code: Optional – enter in the Supplier PL Code
Type: Optional - Choose if the Supplier is an Umbrella Company or a Limited Company
Effective Date: Mandatory if Supplier Type is selected - Enter in the date the Supplier Type is effective. If a Supplier changes from being a Limited Company to an Umbrella Company, the effective date is required to be entered.
Complete Contact Details Tab
Complete the fields within the Contact Details tab, and press SAVE to finalise
Name: Mandatory – enter the name of the key contact at the Supplier
Address Line 1: Mandatory – Enter in the address of the Supplier
Address Line 2: Optional – Enter in the address of the Supplier
Country: Mandatory – Enter in the address of the Supplier
County/State: Optional – Enter in the address of the Supplier
Town/City: Optional – Enter in the address of the Supplier
Postcode: Mandatory – Enter in the address of the Supplier
Complete Payment Details Tab
Complete the fields within the Payment Details tab, and press SAVE to finalise
Note that this will be the bank account that is displayed in your Purchase Payment Reports and Bank File.
Bank Name: Optional – Enter in the Supplier’s Bank Account Details
Address Line 1: Optional - Enter in the Supplier’s Bank Account Details
Address Line 2: Optional - Enter in the Supplier’s Bank Account Details
Address Line 3: Optional - Enter in the Supplier’s Bank Account Details
Bank Account Name: Mandatory - Enter in the Supplier’s Bank Account Details
Sort Code/BSB: Mandatory - Enter in the Supplier’s Bank Account Details
IBAN: Optional - Enter in the Supplier’s Bank Account Details
Swift/BIC: Optional - Enter in the Supplier’s Bank Account Details
Complete Settings Tab
Complete the fields within the Settings Tab and press SAVE to finalise
Payment Terms: Mandatory – enter the number of days for the Supplier’s payment terms
Payment From: Mandatory – whatever is selected here will work in conjunction with the number entered in
Payment Terms to calculate a due date to display on the sales invoice - option definitions:
Document Date - the due date will be calculated from the sales invoice date, this is the date that is entered as the invoice date when creating the sales invoice batch. This is how the system currently manages payment terms
Start of the month - the due date will be calculated from the start of the calendar month that the timesheet transaction occurred in
End of the month - the due date will be calculated from the end of the calendar month that the timesheet transaction occurred in
Calendar Monthly - the due date will be calculated for the same day next month
Payment Method: Optional – select appropriate options BACS (bank transfer), or Cheque
ACN/ABN/Company Number: Optional – record Company number of Supplier
VAT Number: Optional – record VAT number of Supplier
Tax Rate: Mandatory – choose if the Supplier’s tax rate will be 0% or 20% or Custom
Grouping By: Mandatory – choose from the following options how the Supplier’s invoices should be grouped:
· Supplier – one invoice per supplier per period
· Candidate – one invoice per candidate for the Supplier per period
· Assignment – one invoice per assignment per contractor per period
· Timesheet – one invoice per timesheet
Create Remittances as self bill invoices: Tick this box to raise Self Bill Invoices rather than Payment Remittances
Automatically send purchase invoices: Ticking this box means that once the remittance batch has been run, a self-billed invoice will be produced for the supplier
PEO Uplift: Ticking this box enables PEO Uplifts to be added to Assignments for this Supplier
Delivery Email: Optional – enter in the email of the Supplier contact for self-billed invoices to be sent to
HMRC Exempt: Tick this box if the Supplier is HMRC exempt
