Create An Organisation User

How to create an organisation user in Quartz.

Organisation Users are the team members from the Organisation who require access to the system to be a system user. Or Consultants who are to receive commissions on assignments are also required to be set-up as an Organisation User within the system.

How To Create An Organisation User

Navigate to the Organisation User page, and click CREATE to add an additional staff member:

Complete Main Details Tab

Complete the details for the Organisation User – Press SAVE to submit. Below is a step by step guide explaining what each field is used for.

Organisation User Number – automatically assigned as a unique identifier by the system
Organisation ReferenceOptional – record employee number, etc. here if you would like to
Export ReferenceOptional – record a reference number if required for ledger reports
Login Allowed: If the user will be required to access the system, tick the box, this will send the Organisation User an invitation email to register a Texas account. If the user does not require access to the system, leave this box blank
Organisation User can edit Authorised Timesheets: If this box is ticked, the Organisation User is able to edit timesheets that have been Authorised by a Client User. If the box is not checked, then the Organisation User will be unable to edit timesheets that Client User’s have authorised.

Personal Details

First Name: Mandatory – first name of the organisation user
Surname: Mandatory – surname of the organisation user
Email Address: Mandatory – email of the organisation user – this is the email address their invitation will be sent to and any other notifications regarding the system
Phone Number: Optional – record office number if relevant
Mobile Number: Optional – record mobile number if relevant
User Role: Optional – select user role as appropriate for what you would like the organisation user to have access to, you are able to assign more than one role if required.

Role definitions:

Roles can be stacked so that an organisation User can have multiple roles and permissions within the system
Organisation Admin – organisation user able to create any type of record, able to make changes to any area and approve anything in the system
Consultant – organisation user able to have commission assigned, even if a User is entered as an organisation Admin, they will also require to have ‘Consultant’ assigned to their roles
Approver – organisation user able to approve timesheets
Timesheet Administrator – organisation user able to access timesheets screen and create a manual timesheet
Payment Run Administrator – organisation user must have this role selected to be able to raise remittance batches
Sales Invoice Administrator – organisation user must have this role selected to be able to raise sales invoice batches
Purchase invoice Administrator – organisation user able to raise a purchase order
Reporting – organisation user able to run reports
Expense Administrator – organisation user able to access expenses module and enter expenses
Adjustment Authorise – organisation user able to authorise adjustment timesheets

Please Note - It is our recommendation that Organisation Users should not be able to edit timesheets that have been authorised by a Client, this may be required on an ad hoc basis in the case of an urgent edit being required. This function could then be switched on for this user, the edit can be made, and evidence attached as to why this has happened, and then the box can be unchecked again.
