Description: The "actions" feature, as the name suggests, are behaviors that you can add to each stage of your recruitment process. These actions can include emails, questionnaires, tasks (notes on the candidate's profile), or tags.
STEP 1:
When creating a job position, access the "Stages" tab. If the job is already created, simply access it, click "Edit" on the right, and go to the "Stages" tab.
STEP 2:
By clicking "Add actions", you can choose the type of action you want to include in that stage.
STEP 3
OPTION 1: If you select "email," you'll need to fill out two fields:
Template: Select the email template. Learn how to create an email template by clicking the link.
Delay: Set how long after entering the stage the email will be sent to the candidate.
⚠️ Attention:
If you choose to send immediately, note that there's no way to cancel the email, so we suggest applying a delay of at least 5 minutes. ⚠️
OPTION 2: If you choose "Task", you'll need to fill out three fields:
Comment: Enter the message you want to add to the candidate's profile as a task or reminder.
Assignment: Specify who the task will be assigned to. If it's for you, select "Author"; otherwise, choose "Fixed" and select the member to whom it will be assigned.
Delay: Set how long after entering the stage the task will be added to the candidate's profile.
OPTION 3: If you select "questionnaire", you'll need to fill out two fields:
Template: Choose which questionnaire or test you want to request from the candidate. Remember that you need to create it first in the settings under "Questionnaires/Tests".
Delay: Specify how long after entering the stage the questionnaire/test will be sent to the candidate.
⚠️ WARNING:
If you choose to send "immediately", note that there's no way to cancel it. ⚠️
OPTION 4: If you choose "tag", you'll need to fill out only one field, where you'll specify which tag you want to be added to the candidate's profile as soon as they enter the stage.
What else should I know about actions?
Actions can be edited even after they are created. To do so, go to the desired job position, click "Edit," then in the "Stages" section, click "Actions."
Once candidates enter a stage where you've enabled an action, you don't need to worry about sending anything manually because the registered action will happen automatically.
You can also delete an action by clicking the trash can icon next to the action menu.
To illustrate the steps above, check the screenshots below:
To edit, click the blue button with a lightning bolt. In this example, the button indicates that there is only one action in this stage.
But if you want to edit to add another action in the same stage, it's also possible; just click "Add action", as shown.
To delete an action, click the trash can icon, highlighted in yellow in the image.
