INTRODUCTION & WELCOME! 😃

You’re now the admin of your Quorum space! Congrats and welcome!

With great power also comes great responsibility, because you’re the one in charge of administering the platform! This mini guide is here to help you get the best out of Quorum with 5 simple actions, but also to give you some good practices for your everyday use.

REMINDER: WHAT IS QUORUM EXACTLY? 🙌

Quorum is a mobilisation platform and a mobile app. This tool is here to help you mobilise more and better by creating a community of empowered members (through the mobile app), setting automation and structure your organisation and giving you access to unfair data insights.

  1. It’s made up of a web part, aka the web platform, accessible for:
  • Administrators (that’s you!)
  • Staff
  • Field Organizer

You can log in from an Internet browser here:

www. hq.quorum.co

(recommended browser: Google Chrome)

  1. A mobile part: a mobile app to support you on the field! 📱

The mobile app is for everyone you invite to join, but also for you whenever you’re on the field.

The app is like a digital notebook and allows all information to be brought back up automatically with no risk of losing your information.

YOUR 5 ACTIONS ON QUORUM

  1. Sign in to the app and invite your teams
  2. Prepare your space for mobilisation
  3. Launch your actions and manage your contact database
  4. Follow the evolution of mobilisation and actions
  5. Strategize and explore your city.

Step 1 : LOG IN AND INVITE OTHERS TO DOWNLOAD THE QUORUM APP

  • As an admin, you have access to a web platform (like a dashboard). Login to the platform at hq.quorum.co

The people you invite on Quorum only have access to the mobile app, which you can download as well. The usernames are the same as on the web app if you’re an admin.

Download the mobile app available on the App Store (if you have an iphone)

or on the Playstore (if you have an Android phone):

Step 1.1: Invite your team to Quorum

  • 2 ways to do it:
  • Ask your team to download the Quorum app. They can create an account, and you tell them the organisation’s secret nickname (which is the code used to access your campaign)
  • Invite your activists via the Quorum dashboard (hq.quorum.co) > Member tab > Invite a user

The user receives an email inviting them to create an account.

  • Allocate the roles: Once your member is invited to your space, you must decide the rights and accesses that you will give them. Here’s an article explaining the different roles in Quorum.
  • Create teams: To keep things organised, you can create teams! Whether it be by area or by theme, this helps you in structuring your actions. A person can be a member of several teams.

STEP 2: CHOOSE YOUR SETTINGS ON QUORUM

As an administrator, you also have a role as a strategist. You must prepare and configure the application so that it meets your daily needs and optimises your actions and those of your team.

The Quorum app comes with default settings to allow quick launching of mobilising actions. However, you can modify them according to your needs.

Step 2.1: Configure the survey.

The survey is a support to the conversation for your teams and it’s useful to guide them! It puts the person you’re surveying at the center of the conversation and makes it possible to get valuable info. It's also a great way to start a conversation!

Here’s an article to guide you.

Step 2.2: Configure the statuses.

Statuses allow you to categorize a contact. This lets you to complete the info you have on your contact by adding a status. You can determine what that person represents in your movement.

Here’s an article to guide you.

Step 2.3: Configure the leads

Leads  are actions to take with the people you approach. They allow you to always know the next step with a person with whom you or your teams have had contact.

Here’s an article to guide you.

Step 2.4: Configure automated emails

Automated emails can be configured in order to send an email to a person who has answered your survey. You can adapt the body of the email according to the answers given during the meeting.

Here’s an article to guide you.

STEP 3: CREATE YOUR FIRST ACTIONS

  • The action is far-reaching on the Quorum web app. You can create actions:
  • from the "Maps" tab, starting by choosing the territory.
  • from the "Actions" tab by first choosing the type of action.
  • from the "People" tab by selecting filters.

The "Actions" tab is the simplest way to create your actions. Simply select a type of action, a date, a time, etc.

  • There are 2 types of actions: Actions that allow you to generate lists (calls, canvassing, leaflets) & Actions that allow you to get organised with your teams.

Tips ✨: Don’t hesitate to create upstream actions, a bit like a “retroplanning”, to give visibility to the teams but also because, once in the heart of the action, it will help you organise!

Step 3.1 Manage your files and process the info reported by your members

You find all of the contacts encountered in your contact database, so you can filter.

  • Use your contact database as a nerve center where you can follow the relationship with each person.

Step 3.2 Manage yours Leads

  • From the “Leads” tab of your dashboard, you can access the information reported by your members using the mobile app.
  • This allows you to process these feedbacks, and once processed, simply indicate the action as done by checking it. ✔️

STEP 4. ANALYSE & FOLLOW THE EVOLUTION OF YOUR ACTION

  • From "Analysis", you can follow the evolution, zone by zone and team by team, of the mobilisation to re-motivate the teams and try to cover all of the most important territories.
  • You can also follow the mobilisation from the "Map" tab, where you can view actions and progress.
  • You can consult responses to the submitted surveys from the “Analysis” tab.

STEP 5: USE THE STRATEGIC DATA

Depending on your subscription, you can get your own strategy space, in which you can view socio-economic data:

  • In the "Maps" tab, you can navigate through socio-economic (housing, standard of living, etc.) and political data to better understand and apprehend your actions or communications.
  • Use "cross analysis" to target areas according to specific themes (fairly advanced option) to target and prioritize your zones of actions, for example.
  • Use “Profiles and territories” to target the highest priority areas according to the profile of people you meet.

SOME GOOD PRACTICES 🤔

  • Prepare your space well to match it to your needs as soon as possible. You will be even more impactful, and your mobilisation will highly benefit from it.
  • Distribute the roles well: you can't do everything! Don’t forget to organise your team and define their missions in your organisation. Don’t let any precious information from the field be forgotten!

We advise you to divide the missions into 3 categories:

  • Mobilisation : Responsible for organising mobilisation on the field, monitoring actions, mobilising teams ...
  • Contacts management : Responsible for managing the contact database, information feedback, communication...
  • Strategy : Responsible for the analysis of the survey, analysis of the territory, etc.

⚠️Warning: You are processing personal data; you are therefore subject to GDPR rules. Here is an article about the GDPR in Quorum

FAQ

  • “It doesn't work, it’s not letting me sign in!"When using it for the first time, remember to confirm your e-mail address! It’s to avoid robots! 🤖 It’s noted on the app, but we don’t always read! This is one of the most common questions.
  • “I didn’t receive the account creation confirmation email”Look in your SPAMS, it can happen 😅
  • "I get a white screen during installation, what’s going on?"The app pre-loads information during its installation, remember to have a good mobile network when downloading the app. Having problems? Close and restart the app.
  • "I don't see the actions that I created on the web"Some browsers have trouble with instant changes. We recommend Chrome.
  • “Do not confuse Password and Secret Nickname”When you or your activists create an account, enter a personal password. The organisation’s secret nickname only allows you to join your campaign space at the end of the Quorum account creation process.
