Integration Syncing Overview

Learn more about how QuotaPath syncs with your connected integrations

After you connect an integration, QuotaPath automatically begins syncing data based on the integration’s configuration, sync schedule, and activity within your workspace. This process brings new and updated source records into QuotaPath and refreshes your plan mappings so deals, earnings, and payout eligibility reflect the latest available information.

You can monitor the status of each sync from the Integrations page, view its estimated duration, and review any errors that appear on the Integrations or Plans pages. Admins can also enable automated email notifications to stay informed when an integration error requires attention.

Sync Steps

Each integration sync can include two connected steps: Source Data Sync and Plan Data Refresh. First, QuotaPath retrieves new and updated records from the connected integration source (Source Data Sync). It then evaluates those records against your plan mappings and configurations so that deals, earnings, and payout eligibility reflect the latest available data (Plan Data Refresh).

A Source Data Sync automatically triggers a Plan Data Refresh. However, a Plan Data Refresh may also run independently when changes are made to plans, mappings, member assignments, or other workspace configurations.

Sync Types

QuotaPath integrations can sync automatically or when an Admin manually starts a sync. Automatic syncs help keep your workspace current as source records and plan configurations change, while manual syncs allow Admins to request an update when they need to review recent data.

The exact syncing behavior depends on whether the connected source uses QuotaPath’s 1.0 or 2.0 integration architecture. Most workspaces now use 2.0. The integration version determines what triggers the sync and whether QuotaPath retrieves new source data, refreshes plan results, or performs both steps.

QuotaPath may automatically trigger a Plan Data Refresh when workspace changes could affect deal attribution, earnings calculations, or payout eligibility. These changes include:

  • Editing a mapping

  • Duplicating a plan

  • Updating a member alignment

  • Assigning a member to a plan

  • Editing a member’s plan assignment dates

After the refresh finishes, affected deals and earnings will reflect the latest applicable plan configuration and workspace data.

As Plan Data is updating, you will see an indicator letting you know Earnings are calculating. Then you will see an updated alert when Earnings are calculated and you will be prompted to refresh the page.

Estimated Sync Durations

When a Source Data Sync begins, an estimated completion time appears next to the Source Data Sync status on the integration card. This estimate is available for both scheduled and manually triggered syncs and helps Admins understand approximately how long the source-data update may take.

For the first source data sync in a workspace, QuotaPath displays an initial estimate of 21 minutes. This estimate is based on the current average sync duration across workspaces using QuotaPath’s latest integration architecture.

After the first sync, future estimates are calculated using the actual sync history for your workspace. This allows the displayed duration to become more representative of your integration’s typical data volume and processing time. If a sync runs longer than initially expected, its status and estimated duration will update accordingly.

Note: Only choose absolutely necessary objects to integrate from your data source. If you don't need the object data directly for calculating commissions, do not sync it into QuotaPath. This will lessen your data load and potentially improve sync times.

Keep in mind

The displayed duration is an estimate, not a guaranteed completion time. Sync duration may vary depending on the amount of data being retrieved, the number of updated records, and the connected source’s response time. You can continue monitoring progress from the integration card while the sync is running.

Integration Error Messages

If QuotaPath detects an error while syncing an integration, a notification will appear on the Integrations page, Plans page and header. The notification identifies which sync step failed, may explain what caused the issue, and directs you to the area that requires attention.

Integration errors are grouped according to the part of the syncing process where the issue occurred:

After resolving an error

Follow the recommended action shown in the notification, then run the applicable sync again. If the error remains, provide QuotaPath Support chat with the error category, message, and details so the affected configuration or record can be reviewed.

Integration error emails

In addition to the notifications displayed within QuotaPath, Admins can enable automated email alerts for integration errors. These emails help the appropriate workspace administrators stay informed when a sync issue requires attention, even when they are not actively viewing the Integrations or Plans pages.

To enable these notifications:

  1. Go to Settings.

  2. Open Notifications & Emails.

  3. Enable Integration Error Emails.

  4. Review and update the selected recipients.

The workspace owner is included as the default recipient. You can update the recipient list to notify other workspace Admins who are responsible for integrations, plan management, or data troubleshooting.

When QuotaPath detects a new integration error, the selected recipients will automatically receive an email notification. They can then open QuotaPath to review the complete error message, affected record or configuration, and recommended action.

Recommendation

Include at least one active Admin who regularly manages your connected integrations. This helps ensure that authentication failures, mapping issues, and other sync errors are reviewed promptly.
