HubSpot Integration Overview

Overview of QuotaPath's HubSpot integration & setup instructions

QuotaPath's integration with HubSpot allows you to easily import data from your HubSpot account to use in QuotaPath to calculate commissions or inform payouts eligibility.

QuotaPath currently supports two versions of its HubSpot integration: HubSpot 1.0 and HubSpot 2.0. Starting in February 2024, new customers will be automatically onboarded to the 2.0 version.

In this article, we'll cover the requirements to set up both versions of the integration. For more information on the differences between the integration versions and the benefits of upgrading, please review Integrations 2.0.

Important: QuotaPath only allows one HubSpot instance to be connected to each workspace. If you have two HubSpot instances that you need data from to calculate commissions, you would need to use two QuotaPath workspaces, integrating each HubSpot instance with its own workspace. If you have this issue and want to set up multiple workspaces or want to discuss other potential integration solutions and data sources, please talk to your Account Manager or CSM.

Integration Overview

QuotaPath's integration with HubSpot is a two-way sync via the HubSpot API (read-only). HubSpot object data is synced with QuotaPath, and QuotaPath earnings data is synced with HubSpot Deal Cards. Only a single QuotaPath Admin needs to authenticate (HubSpot 2.0 only) in order to set up the integration.

For more information on QuotaPath's HubSpot integration, visit QuotaPath's listing in HubSpot's App Marketplace.

User Permissions

It is recommended that the Admin authenticating to QuotaPath has the Super Admin permission set. Alternatively, the following permissions will be required:

  • CRM objects - Companies (read)

  • CRM objects - Contacts (read)

  • CRM objects - Deals (read)

  • CRM objects - Custom Objects (Read)

  • CRM objects - Invoices (Read)

  • CRM schemas - Companies (read)

  • CRM schemas - Contacts (read)

  • CRM schemas - Deals (read)

  • CRM schemas - Custom Object (Read)

  • CRM settings - Currency Settings (Read)

  • CRM - Owners (Read)

Depending on the objects you'll be importing into QuotaPath, you may also need the above permissions for the E-commerce and Ticket objects as well.

Sync Schedule

Customers have the ability to set the sync frequency in QuotaPath in order to control API usage (HubSpot 2.0 only). For details on HubSpot’s API usage guidelines, please visit HubSpot's website here.

Supported Objects

QuotaPath currently supports the ability to import data from the following HubSpot objects:

  • Deals

  • Deal Splits

  • Companies

  • Contacts

  • Custom Objects*

  • Engagements

    • Calls

    • Emails

    • Meetings

    • Notes

  • Leads

  • Products (Requires HubSpot Professional)

  • Tickets

*Requires custom integration setting, please reach out to the QuotaPath support team. Also, see below re: scopes.

If you have issues finding or syncing in Invoice records or Line Item records, you likely need to complete the following steps:

Update scopes on the HubSpot app:

  1. In HubSpot, click the Settings (gear) icon

  2. Then go to Integrations > Connected Apps

  3. Go to the Approved Apps tab

  4. Find the App used for the QuotaPath connection and click Manage Access

  5. Go to the Data Permissions tab

  6. Search for and check both items:

    1. e-commerce

    2. crm.objects.line_items.read (under the CRM section)

  7. Save your changes.

Please note: QuotaPath does NOT support custom objects named "Properties" as it conflicts with a Hubspot data stream necessary for integration.

QuotaPath Integration Requirements

QuotaPath will require some type of object/field in your HubSpot account that will allow us to pull the following data points into QuotaPath for commission calculation:

  • Deal Owner – email of the rep who closed the deal, completed the activity, etc. and should be paid commission (Note: QuotaPath can access a rep’s email address via a user-lookup field like 'Deal Owner' or read a field where the email address is the value)

    • Example Field: Deal Owner

  • Deal Name – name of the account, meeting, etc. in which the rep is getting paid commission

    • Example Field: Deal Name

  • Deal Date – date that the deal is closed, meeting occurs, etc. and commission is eligible to be earned

    • Example Field: Close Date

  • Deal Stage – stage(s) that denote the deal, meeting, etc. is closed/won, open or closed/lost, and the rep is eligible to earn commission

    • Example Field: Deal Stage = Closed Won

  • Deal Amount – amount that QuotaPath will use to then apply the appropriate earnings rule in order to calculate the rep's commission

    • Example Field: Deal Amount

For managers that are commissioned on deals/activities for their direct reports, QuotaPath will require either:

  • Field containing the email of the manager (Note: this field can be implemented using your HubSpot user hierarchy and can also leverage a user-lookup field to access the manager’s email or read a field where the email address is the value)

    • Example Field: Deal Owner Manager

  • List of individual Deal Owners to be added as filters in manager's Plan mapping

How to connect HubSpot 2.0

To connect HubSpot 2.0 to your QuotaPath workspace, open Integrations in the Data group of the left-hand navigation (it is not under Settings). If you already have a source connected, you will land on Connected; otherwise you will see Available. Find the HubSpot 2.0 integration card and click ‘Connect’.

Authenticate

Upon clicking 'Connect', you'll be automatically redirected to HubSpot where you'll need to login and authenticate to your HubSpot account and grant the QuotaPath application access to your HubSpot account. After logging in, you'll be automatically redirected back to QuotaPath.

Syncing new properties

If you create new properties on an integrated object in Hubspot, you will need to use the Reset Data button the Manage Source tab to refresh your Hubspot schema and make your new field ready for use in QuotaPath.

To do this, go to Integrations > "Manage" on the Hubspot 2.0 connection card > Manage Source tab > scroll down and click Reset Data. Wait for the green success pop-up before clicking away.

How to connect HubSpot 1.0

To connect HubSpot 1.0 to your QuotaPath workspace, open Integrations in the Data group of the left-hand navigation (it is not under Settings). If you already have a source connected, you will land on Connected; otherwise you will see Available. Find the HubSpot 1.0 integration card and click ‘Connect’.

Authenticate

Once your integration is setup, you can start mapping plan components to your integration data. Visit How to Map a Component to your Data Source for more detailed instructions!

Limitations on data

If you get a sync error in your QuotaPath workspace that says "The Hubspot Search API size limit exceeded..." this is a sign that you have reached the 10,000-record limit for a single HubSpot 1.0 mapping.

To work around it, the records will need to be broken into multiple mappings, which means multiple components. The easiest way to do this, is with filters on the close date. If it is July 1st, for example, and you have hit your 10,000 record limit, to effectively manage your HubSpot mappings without exceeding the 10,000-record limit, follow these steps:

1. Duplicate the Component: Locate the existing mapping within your QuotaPath settings. Use the option to duplicate this mapping.

2. Set Up the Original Mapping's Filter: On the original component's mapping, apply a filter for the close date to be less than March 31st.

3. Adjust the Duplicated Mapping: Edit the duplicated mapping to create a new mapping, or build a new one from scratch, and add a close date filter to greater than or equal to March 31st. This will capture all records from that date forward.

4. Run a Sync & Refresh: After applying the filters, execute a Sync & Refresh to verify that the error is resolved and data syncs correctly.

By following these steps, you'll effectively manage your record count within the mapping limits while ensuring comprehensive data coverage across your records

QuotaPath data in Hubspot

QuotaPath offers three ways to bring commission and quota data into HubSpot:

  1. Hubspot App Pages: dedicated QuotaPath pages inside HubSpot that show aggregate Earnings and Attainment data, similar to the Earnings and Attainment pages you already use in QuotaPath.

  2. Hubspot App Cards: earnings and attainment data on your Deal record layout.

  3. Hubspot App object: Enable custom reporting, dashboards and workflows in Hubspot, using your QuotaPath data.

After connecting your HubSpot instance with your QuotaPath Workspace, you can utulize these features to give your reps deal and earnings transparency directly in your Hubspot workspace. To set up any/all of these options, read the articles at the links above.
