The approvals step in the commission payout process is managed from the Approvals page. This provides a central location for members, managers and admins alike to view approvals status, approve earnings, unapprove earnings, or reset the approvals workflow.
Approvals Workflow On/Off
Your workspace approvals workflow can be managed from Preferences in Settings. For more information on how to customize your approvals workflow, visit this article.
If the approvals workflow is turned off in your workspace, you will not see the Approvals page in the left hand navigation. Closed/won deals will automatically appear on the Payouts page to be scheduled for payment and skip the approvals step in the commission payout process.
Visibility by Role
Members and Team Managers without approval steps assigned to them will still be able to view the Approvals page, though they will not have any action required of them on that page. For them, the page is for transparency, to better understand where in the payout process their deals and commissions stand and to review their earnings for accuracy.
Approval Page & Inbox View
The 'Approvals' page will only display members or deals with unapproved earnings, similar to a zero-inbox approach. Once deals and earnings are approved they move to the Payouts page.
If you have an approval workflow with more than one step, you will see the Approval steps at the top of the page. Below, the steps are "Manager" and "Admin". If you have no deals currently in your Approval inbox, you may see this view when you click to the approvals page, showing how many deals sit in the inbox for each approval step/approver. In this example, all deals are awaiting a manager approval, and there are zero deals awaiting admin approval, so this would be the admins' view:
When multiple approval steps are being used, Admins can always complete approvals for every step. If a teammate is out of office or unable to complete their approvals, the admin can complete them for them.
If you have an approval workflow with a single step, you will not see separate inboxes and steps. Your deals and earnings will be showing in a table by member, like below. The deals can be approved by an admin or a team manager with Full permissions.
Inbox
The Inbox consolidates all outstanding approvals for a user. For example, if a Team Manager has outstanding approvals for their team's deals and their own deals, they will see both approvals in their Inbox.
If a user has completed all outstanding approvals OR if they are not an approver in the approval workflow, they will see a summary of the approval status of their earnings:
Approver Steps
To the right of the Inbox, you will see a tab for each step in your approvals workflow and the name of the step. Your permissions in these tabs will depend on your workspace role and approval role:
If you are the designated approver for the step, you will be able to approve, unapprove or reset approvals from this tab.
Approvers in the second, third, and subsequent steps will be able to approve downstream as well. For example, a Team Manager could approve on behalf of their rep.
Everyone will have visibility into the approval status at each step.
Admins will be able to approve, unapprove and reset approvals on behalf of any workspace user.
