Learn more how to set-up & use QuotaPath's Rippling integration

QuotaPath customers using Rippling's Payroll product can set up QuotaPath's Rippling integration in order to fully automate the end-to-end sales compensation process from plan to paycheck. By setting up the integration, you'll be able to:

  • Save time managing user access to QuotaPath by automatically creating and deactivating users

  • Streamline your team's workflows by quickly accessing QuotaPath directly from Rippling via single sign-on

  • Stay on track for payroll schedule with automated email reminders to send QuotaPath payouts to Rippling

  • Easily view scheduled and paid payouts from the Payroll page in QuotaPath and download exports formatted for Rippling

  • Reduce errors and eliminate spreadsheets by sending scheduled QuotaPath commission payouts directly in a Rippling Payroll pay run

In this article, we'll provide detailed instructions for how to set-up and use the integration, as well as integration requirements, features, and FAQs.

Requirements

  • QuotaPath's Rippling Integration is available to any QuotaPath customer on the Premium subscription tier. For the most up-to-date packaging, please visit QuotaPath's pricing page.

  • Rippling customers must also be using Rippling's Payroll product.

  • Since Rippling's Payroll product is for US payroll only, only QuotaPath workspaces with a workspace currency of USD are eligible to use the integration.

  • QuotaPath does not support sending payouts into Rippling's Global Payroll product.

Supported features

QuotaPath's Rippling Integration includes access to the following features and functionality:

  • QuotaPath app listing in Rippling's App Shop

  • Automatic user creation/deactivation via app access rules

  • Single sign-on to QuotaPath using Rippling credentials

  • Commission payroll email reminders & Home page task

  • 'Payroll Admin' user permission

  • Rippling pay schedule view when scheduling QuotaPath payouts

  • Payroll page for viewing & exporting payouts by payout date and member

  • ‘Send to Rippling’ for pushing QuotaPath payouts directly into Rippling pay run

  • Rippling-formatted CSV exports

User permissions

Depending on both the user's QuotaPath workspace role and permission set, certain features may or may not be available, or views may be different. For a detailed overview on how permissions work with QuotaPath's Rippling Integration please review the table below:

App installation

To set up the integration, QuotaPath customers can visit the Integrations page and click connect on the Rippling integration card, or find the QuotaPath app in Rippling's App Shop.

During the app installation flow, the Rippling admin will need to:

  • Set the automated access rules for which employees should get access to QuotaPath

  • Authenticate to their QuotaPath workspace

For existing QuotaPath customers, it's recommended to create rules based on which users currently have access. The most common rules are:

  • Full-time, salaried employees

  • Rippling team is Sales, Account Management, Customer Success, etc.

  • Granted access upon Start Date (not Hire Date)

If an employee falls outside these automated rules (like QuotaPath Admins), Rippling admins will be able to manually grant or revoke access from the QuotaPath app settings in Rippling.

App management

After completing the app installation flow, you can click to ‘Visit App’. You can also search for QuotaPath in the top search bar to go to the QuotaPath app in Rippling. From here, you can:

  • View which Rippling employees have access to QuotaPath

  • Manually grant/revoke access

  • Edit automated Access Rules

  • View app activity

  • Manage app settings

    • Note: The app can only be Uninstalled here from Rippling and not from within QuotaPath.

User provisioning

Users will be automatically synced on a 24-hour schedule and QuotaPath admins will also have the option to manually sync users from the ‘Rippling’ tab on the Members page, or from the Rippling integration card.

Users will be matched based on their QuotaPath email and Rippling work email.

QuotaPath will also sync the user’s:

  • Legal First Name

  • Legal Last Name

  • Title

  • Employee ID

  • Profile Photo

QuotaPath customers can view all workspace users from the ‘Members’ tab on the Members page. Users can still be manually added directly to QuotaPath. However, if a user is synced with Rippling, the user can only be deactivated based on the automated access rules or manually in Rippling.

The ‘Rippling’ tab on the Members page shows which users are syncing with Rippling and their Rippling Email and Rippling Currency.

If an existing QuotaPath user did not sync with Rippling or did not get created, it could be because that user was not granted access to QuotaPath in Rippling.

In the QuotaPath app in Rippling, users can be manually granted access by clicking ‘Grant Access’.

Unmatched users

If QuotaPath was not able to match an existing QuotaPath user to a Rippling user, you may see that duplicate users were created in QuotaPath. To resolve, go to the ‘Rippling’ tab on the Members page, and you’ll see unmatched QuotaPath users highlighted in the top table with the option to manually align to the Rippling user.

Upon selecting the user to align to, you’ll also have the option to remove the duplicate user.

Rippling integration settings

After the integration has been set-up, visit the Preferences tab on the Settings page to configure your Rippling integration settings including:

Rippling earnings field

  • Determines which field in the Rippling Pay Run will be populated with the QuotaPath payout amount

    • Defaulted to ‘Commissions’, which is most common

Payroll Admins

  • Determines which QuotaPath Admins have ability to use ‘Send to Rippling’ functionality

    • Defaulted to Workspace Owner

Single sign-on

Users will be able to single sign-on directly to QuotaPath from their Home page in Rippling.

In addition, users can also use their Rippling credentials when logging in via QuotaPath's login page.

Scheduling commission payouts

When scheduling commissions to be paid out, QuotaPath will now surface the customer’s Rippling pay schedule in order to align the QuotaPath payout date to the Rippling pay run date.

Home page task

After scheduling payouts, Admins will see a new task on Home page prompting them to send the scheduled payouts to Rippling.

Payroll email reminders

Payroll Admins will receive an automated email reminder 1 week ahead of a scheduled payout date to send the payouts to Rippling.

Payroll page

The Payroll page provides a central place in the app the view and export scheduled and paid payouts. There are two tabs on the page to view Scheduled vs. Paid payouts. Payout data is grouped by Payout Date with ability to drill down and view by Member. The graph shows payouts over time with payout status and ability to change view by Payout Date, Month or Quarter.

Scheduled payouts & 'Send to Rippling'

From the Scheduled tab of the Payroll page, Payroll Admins can expand a Payout Date to see a ‘Send to Rippling’ button for each member. Payouts can be sent to Rippling for each member individually, or in bulk by selecting multiple members.

Rippling pay run selection

After clicking ‘Send to Rippling’, the Payroll Admin will choose which Rippling pay run to send the payouts to. It will default to the pay run with the same payout date.

Misaligned payout dates

If a Payroll Admin chooses a Rippling Pay Date that does not align with the QuotaPath Payout Date, then you will see a validation error. You can still proceed with sending the payouts, but it is recommended to update the QuotaPath payout date to match the Rippling pay date for clean record-keeping.

Re-sending payouts

If new payouts are scheduled for the same payout date, Payroll Admins will have the option to send the new payouts to Rippling. In that scenario, QuotaPath will add the new payouts to the previously sent payout amount to get an updated total payout amount. When sending the updated total payout amount to Rippling, it will overwrite the previously sent amount.

Paid payouts

Once a payout date has lapsed, payouts will automatically move to the ‘Paid’ tab on the new Payroll page for historical record.

For existing customers, all previously paid payouts will be visible and can be exported. If payouts were sent to Rippling, admins can see the Rippling pay run and the ‘Paid’ status will have a Rippling icon, noting it was sent to Rippling.

Payroll exports

All QuotaPath customers will be able to export scheduled and paid payouts from the Payroll page for audit trails. Click the ‘Export’ button in the top right to export all data from the Scheduled or Paid tab, or use the dropdown to select the option to export all data.

Or click the kebob menu in the payout date table to export an individual payout date.

Rippling customers will have the option to download an export formatted for Rippling.

Frequently Asked Questions

How does the user provisioning work for existing QuotaPath customers?

When existing QuotaPath customers install the Rippling integration, you'll have the option to set up access rules which will determine how users will be created and deactivated moving forward. If any users fall outside of these rules, you'll still have the option to manually grant or revoke access in Rippling.

What if a QuotaPath user's email is different than their Rippling email?

If a user's email does not match between QuotaPath and Rippling, a duplicate user may be created. If so, you'll have the option to re-align the QuotaPath user to the correct Rippling user from the Rippling tab on the Members page. Upon re-aligning the users, it will also remove the duplicate user.

What if I need to send commission payouts into different pay runs?

When sending a member's payouts to Rippling, you'll have the option to select the Rippling pay run to send their payouts to. The Rippling pay run can be different for each user if needed. You'll also have the option to select multiple members to send to the same pay run all at once.
