Learn how to lock plan data to pause syncing & freeze commission data

Maintain compensation plan audit trails by locking your plan data. Plan data can be locked at any point during your commission payout process and will allow you to:

  • Align QuotaPath to your company’s accounting practice of “closing the books” on commission data

  • Maintain flexibility by setting and editing a custom date range for the locked plan data period

  • Freeze commission data by pausing syncing with source data to prevent discrepancies and clawbacks

Before Locking a Plan

Plan data can be locked at any point during your commission payout process. Most commonly, data will be locked after the commission has been fully scheduled to be paid out.

When a data lock is applied to a plan, the plan's data mappings will no longer sync with the data source. This means that any changes to the source data will not reflect in QuotaPath. This includes changes to the deal amount, owner, date, etc. If your plan has payout eligibility rules, it is recommended to apply a data lock to only the date range of deals in which payouts have been fully scheduled. The data lock will prevent payouts from becoming eligible as the payout eligibility mappings will also pause syncing.

Plans using our Salesforce, HubSpot or Close 1.0 integration sources, or plans with no data mappings are not eligible to use this feature.

How to Lock a Plan

To lock a plan, go to the Plans page. When viewing a plan on the Plans page, the plan ‘Start Date’ and ‘End Date’ will automatically populate with the earliest start date and latest end date based on all plan assignees. This can help inform the admin on the appropriate locked date range.

If the plan assignees have no start or end date, these values will be blank.

How to Lock a Single Plan

To lock a plan’s data, you can do so from either the Plans page by:

  • Clicking the more menu and selecting ‘Lock Plan Data’

Or from the Plan Details page by:

  • Clicking the secondary button for ‘Lock Plan Data’

In the modal, select the start and end date for the locked period, then confirm. It is recommended to only apply a lock for a date range in the past in order to ensure open deals continue to sync and move to closed won. This locked period will apply to all paths/mappings and all plan assignees.

How to Lock Multiple Plans

To lock multiple plans, choose the plans on the Plans page, and select option for ‘Lock Plan Data’.

In the modal, select the start and end date for the locked period to apply to all selected plans, then confirm. This locked period will apply to all paths/mappings and all plan assignees.

How to View a Locked Plan or Deal

Once a plan’s data has been locked, the ‘Data Lock Dates’ column will be updated to show the start and end date of the locked period.

This locked period will be visible on the Plans page and the Plan Details page.

Once a plan’s data has been locked, any deals that fall within the locked period will be designated with a new orange locked icon on the Deals page.

Deals that have been manually added and are locked will be designated with a different grey icon.

When viewing the Deal Details, you’ll also see the locked period in the sidebar.

Currently, the deal plan data lock icon will only appear in the Deals table, and not the Approvals, Payouts or other tables.

How to Edit a Locked Plan

In order to edit the locked date range and lock data for a new earnings period, head back to the Plans page.

How to Edit a Single Plan

To edit the locked period for a plan, you can do so from either the Plans page by:

  • Clicking the pencil icon in the ‘Data Lock Dates’ column

  • Clicking the more menu and selecting ‘Edit Locked Plan Date Range’

Or from the Plan Details page by:

  • Clicking the secondary button for ‘Edit Locked Plan Date Range’

How to Edit Multiple Plans

To edit the locked period for multiple plans, choose the plans on the Plans page, and select option for ‘Lock Plan Data’.

How to Sync a Locked Plan

You can trigger a one-time sync of the locked plan data by heading to the Plans page. To re-sync data on a locked plan, you can do so from either the Plans page by:

  • Clicking the more menu and selecting ‘Re-Sync Locked Date Range’

Or from the Plan Details page by:

  • Clicking the secondary button for ‘Re-Sync Locked Date Rate’

This will perform a one-time re-sync of the plan data and include the locked period. You do NOT need to trigger a sync on the Integrations page too.

You can not re-sync data on multiple locked plans.

How to Unlock a Plan

If you would like to remove the data lock on the plan so that all plan data will continue to sync again, head back to the Plans page.

How to Unlock a Single Plan

To unlock a plan, you can do so from either the Plans page by:

  • Clicking the more menu and selecting ‘Unlock Plan Data’

Or from the Plan Details page by:

  • Clicking the secondary button for ‘Unlock Plan Data’

If a plan is unlocked, the data will continue to sync again and update deals accordingly.

How to Unlock Multiple Plans

To unlock multiple plans, choose the plans on the Plans page, and select option for ‘Unlock Plan Data’.

If a plan is unlocked, the data will continue to sync again and update deals accordingly.
