Creating a round robin group
Adding a round robin group is an easy way of assigning opportunities to different users automatically.
To get started head into your Settings & the Workflow Settings:
Once here navigate to the 'Round Robin Groups' section and click 'Add Round Robin Group'.
Add a description of the group and click 'save'. This will be used to identify each round robin group.
Info: In this example, I have 3 people that can deal with LCV enquiries, therefore I need a group to assign these types of opportunity to those individuals. I will start by naming the group LCV.
Once you have chosen a Description and hit Save, you will see a screen similar to the one below. Here you can see all Opportunity types and all Users.
To add any 'User' or 'Opportunity Type' you use the 'Included Flag' column. To change whether they are included or not, all you have to do is select the toggle option.
Note: A 'Yes' indicates that they are included within the group whereas an 'No' indicates that they are not included in the group.
Once selected, you will be asked to confirm if you want to remove or add the Opportunity type or user. If you make a mistake, click on the toggle again to remove the person/opportunity from the group.
NOTE: Once an opportunity type has been added to one round robin group, it will no longer be able to be added to other round robin groups.
As you can see I have added my 3 specialists and specified that only LCV opportunities are included in the group. This means that the users that have not been included will not get passed opportunities of this type.
If a member of staff is out of the business, don't panic.
You can temporarily remove them from the round robin group by toggling the same field as before. When they return to work you can add them again using the same method.
Note: If the relationship already exists in Quotevine and has an account manager, any further enquiries from this relationship will not have any effect on the Round Robin.
User managing round robin group
A User can drop themselves in and out of the round robin without having access to the settings.
They can do this by going into my account.
Toggle the Round Robin Enabled button to 'Off' and click 'Save'.
When a user decides to rejoin, they can add themselves again using the same method.
Disabling a Round Robin Group
If you need to disable an entire round robin group, the easiest way is to simply toggle all Opportunity Types in Included Flag to 'No':
Reviewing Allocation History
To see which salespeople have been allocated an opportunity from the Round Robin, and when:
Click on the 'Settings' tab
Go into 'Workflow Settings'
Navigate to Round Robin Groups
Click the Edit pencil on the group of interest
Scroll down to Assignment History (previous 7 days)
