Managing Phone Numbers
Access Phone Number Management
Tap your profile icon → Settings.
Select Manage phone numbers.
You’ll see:
Added numbers: Not yet assigned to clients.
Assigned numbers: Already linked to clients.
Add a New Phone Number
From Manage phone numbers, tap Add number (+).
Choose an area code or specific number.
Complete any verification steps.
Your new number appears under Added numbers with a confirmation message.
Manage Numbers
Assign: Tap Assign → select client → confirm.
Delete: Tap Delete → confirm.
Release (for assigned numbers): Tap Release → confirm. Number moves back to Added numbers.
Best practices:
Give important clients dedicated numbers.
Keep area codes local when possible.
Reuse the same number for a client for consistency.
Regularly review and release unused numbers.
Making & Receiving Calls
Make a Call
From buyers tab: Enter contact in search bar → select contact → tap phone icon.
From client profile: Open profile → tap call button (phone icon).
From call history: Go to Settings → select call history → tap the previous call.
Receive Calls
Clients call your Mel-assigned numbers.
You’ll see a notification with caller ID.
Answer normally — Mel records in the background.
During Calls
Speak naturally.
No need to pause or repeat.
Use regular call controls (mute, speaker, end).
Focus on the client — Mel takes the notes.
After Calls
Mel processes the conversation automatically.
You’ll see “Mel is summarizing your call with [Client].”
Summary is ready within moments.
It’s automatically saved under the client’s Notes tab.
Call Summaries
How It Works
During call: Mel listens.
After call: Mel processes and notifies you.
Completion: Summary added to client’s profile under Notes.

Header (title, timestamp)

Access Summaries
Open client profile.
Go to Notes tab.
Summaries appear chronologically (newest first).
Tap any summary to expand.
AI Summary Feature
Provides a consolidated view of all client interactions.
Found in Quick actions as “AI summary.”
Use Refresh to pull in the latest updates.
Editing: You can add or edit notes directly in a summary when needed.
Best practices:
Review summaries promptly.
Check before new calls or meetings.
Use summaries to track progress and next steps.
Share with team when collaboration is needed.
Notes Management
Access notes from the client profile → Notes tab.
Types of notes include:
Call summaries (auto)
Meeting notes
Manual notes
System notes (status changes, etc.)
Notes are shown newest first, with timestamps and previews.
Use search or filters (if available) to find specific info.
Integration with Mel Features
Client profiles: Summaries and notes are automatically stored.
Messaging: Calls and texts share the same numbers; both appear in activity history.
Property recommendations: Preferences from calls feed into Mel’s suggestions.
Performance metrics: Call frequency, duration, and follow-up completion are tracked.
Privacy & Security
All calls are secure and encrypted.
Recordings are only used to generate summaries.
Clients connect directly with you — Mel works in the background.
