Collaborators Feature – Help Center Guide

Overview

The Collaborators feature allows team leaders and agents to invite, manage, and assign collaborators such as Transaction Coordinators (TCs), lenders, assistants, and vendors. This feature improves collaboration by providing controlled access to clients, transactions, and related activities.


Accessing Collaborators

  • Navigate to Settings

  • Click on the Collaborators tab


Team Leader Controls

Team leaders have the ability to:

  • Enable or disable whether associates can add their own collaborators

  • Manage and assign default collaborators for the team

  • Control access levels for collaborators across the team


Types of Collaborators

You can add the following types of collaborators:

  • Transaction Coordinators (TCs)

  • Lenders

  • Assistants

  • Vendors


Adding a Collaborator

  1. Go to Settings → Collaborators

  2. Click Add Collaborator

  3. Enter:

    • First Name

    • Last Name

    • Email

    • Company Name (optional)

  4. Select the collaborator type

  5. Choose the scope:

    • For team leaders, this is typically Team-level access

  6. (Optional) Select “Set as Default Collaborator”

  7. Click Invite

What happens next?

  • The collaborator receives an email invitation

  • Once added, they gain access based on their role and scope


Default Collaborators

  • Default collaborators are automatically assigned to:

    • All clients

    • All transactions

  • This helps streamline workflows for frequently used collaborators (e.g., TCs or assistants)


Where You Can Add Collaborators

1. Client Profile Level

  • Add collaborators directly to a client

  • They will have:

    • Access to My Active Clients

    • Ability to edit client-related details


2. Transaction Level

  • Add collaborators to a specific transaction

  • Access is limited to that transaction

  • Available collaborator types:

    • TCs

    • Assistants

    • Vendors


Access Levels by Role

Transaction Coordinators (TCs) & Assistants

  • Full access to:

    • Clients

    • Transactions

    • Notes & reminders

    • Searches and recommendations

  • Can work across multiple teams using a single login


Lenders

  • Access to:

    • My Active Clients

    • Notes & reminders

    • Basic client information

  • No access to transactions

  • Limited editing (only notes & reminders)


Vendors

  • Limited access similar to lenders

  • Can view assigned data but with restricted permissions


Notifications & Emails

Collaborators receive email notifications when:

  • They are added to a transaction

  • They are added to one or multiple clients

Examples:

  • “You have been added to a transaction as an assistant”

  • “You have been added to clients”


Multi-Team Access

  • Collaborators (especially TCs and assistants) can:

    • Be linked to multiple agents or teams

    • Use one email login to access all assigned work


Vendor Reporting

  • A new Vendor Reporting section is available under reporting

  • Team leaders can:

    • Filter by associates and transactions

    • View vendor-related data

  • Only closed transactions are displayed in this report


Platform Availability

The Collaborators feature is available on:

  • Web platform

  • Mobile apps (iOS & Android)
