Introduction

Welcome to the new Earnings and Payments Report Generator, a flexible tool (in beta) that allows you to generate detailed reports using a variety of customisable templates, advanced filters, and column configuration options.

You can choose from 61 available columns and 18 filters to tailor reports to your exact needs. The tool supports applying different date ranges, adjusting column order, and saving custom templates for future use.

Simple Report Generation

To quickly create a report, follow these steps:

  1. Go to the Earnings and Payments Report page under Reporting in the left hand navigation pane.

  2. From the Select Template dropdown, choose a template.

  3. Choose the date range basis:

    • Invoice raised date

    • Timesheet end date

    • Earnings payment date

  4. Choose the date range.

  5. Click Generate Report to start the report creation. It typically completes in 5-10 seconds.

  6. Once complete, navigate to Report History to find your generated report. Any generated reports will also be available to other admin users within your agency.

  7. Click Download to retrieve your report.

Templates Overview

Templates make it easy to generate reports tailored to your needs. Here’s an overview of the available templates:

  • Earnings templates:

    • "Gross" is ideal for questions about cash and bank transactions.

    • "Net" helps with understanding profit and managing commission splits.

    • "PAYE" includes National Insurance (NI) and tax deductions details.

    • "Paid" shows a breakdown of the earnings payments you've received.

    • "To be paid" helps understand booked earnings in the upcoming payment cycles, especially for partly funded and paid-when-paid placements.

  • Contractor templates:

    • "Paid" lets you track contractor payments and payment dates.

    • "To be paid" is useful for understanding upcoming payments, particularly for extended payment terms and paid-when-paid placements.

Customising Report Columns and Filters

Modify the default template by adjusting the column order and applying filters:

  1. After selecting your template and date range, go to Manage your columns to select or deselect the columns you want to include in the report. You can choose from 61 columns. You can also reorder the columns.

  2. Use Advanced Filters to apply specific conditions (e.g., "equals," "not equals," "includes," "not includes"). Filters can be combined using AND or OR conditions to refine your data.

  3. Once your customisations are made, click Generate Report.

  4. Download the report once it's ready.

Reusing a Previous Report Configuration

To generate a report based on a past configuration:

  1. Go to Report History.

  2. Click the Reload icon next to a past report to use its settings for a new report.

  3. After clicking Reload, your previous configuration will be applied, and you can generate a new report.

Saving and Managing Custom Templates

To save a custom template for future use:

  1. After selecting columns and applying filters, click Save as New Template.

  2. Give your template a name and description, then save it for future use.

  3. From now on, any admin user from your agency can find the template from the "Select Template" dropdown:

  4. To update or delete saved templates, go to the Select Template dropdown, choose your template, and click Update Template or Delete Template.
