How-to guide for agencies to set up new temp contract placement.

A new service has been launched to give our users more control over their experience!

Summary:

  • An agency submits a placement request on the Raise platform

  • The placement is sent to the compliance team at Raise to approve

  • The placement is sent to the client to look over and approve

  • The placement is sent to the contractor to accept


Agencies

You can now submit and check the status of a new placement by selecting 'request' from the menu, then 'temp placements'.

Similar to the onboarding forms currently used, information about your contractor, client and placement details will be required.

Contractor information

For existing contractors:

  • Type in the name of the contractor a pre-populated list will drop down

For a new contractor:

  • Name

  • Email address

Client information

For UK clients:

  • Choose whether it is a limited company or school

  • Start typing in the client's information and a pre-populated list linked to the GOV website will appear

For existing clients:

  • Type in the name of the entity and a pre-populated list will drop down

For new non-UK clients:

  • Company name

  • Registration and tax number

  • Registered and invoicing address

  • Incorporated Country

  • Website URL

Please be sure to look over these details carefully and make sure they are correct before clicking save and next!

Placement information

You will now need to input the placement information.

Key information include:

  • Start date and end date

  • Job title

  • Timesheet frequency

  • Placement rates

  • Hiring manager, timesheet approver and invoice contact

  • Legal information e.g payment terms, notice periods

Additional rates can also be added - these are any rates outside the standard - by clicking 'add new'

  • The additional rate will need to be labeled accordingly

  • Standard units per week needs to be added

Signed Terms of Business can be loaded during this stage.

Once the placement request has been made, there is no option to upload these documents, so terms will need to be emailed to your onboarding manager.

The placement can be saved as a draft by clicking 'save' - if the placement information is not yet confirmed or likely to change, this is best.

Once the placement has been submitted, it can no longer be amended. If any change does need to happen, please email your onboarding manager.

Please be sure to look over these details carefully and make sure they are correct before clicking submit!

Once the placement has been approved by the Raise compliance team, the status updates to 'pending client approval'.

Clients

Placements to be approved can be found in 'Temp Placements' in the menu bar.

Existing clients:

  • You will receive one email containing the placement information and instructions on how to approve this.

New clients:

  • You will receive one email with log in details to the platform.

  • You will receive another mail with the placement information and instructions on how to approve this.

Please be sure to look over these details carefully and make sure they are correct before clicking approve!

The placement will go straight to the contractor once it has been approved. The status of the placement will change to 'pending contractor approval'.


Contractors

Placements to be accepted can be found in 'Temp Placements' in the menu bar.

Existing contractors:

  • You will receive an email with the placement information and instructions on how to accept this.

New contractors:

  • You will receive an email with log in details to the platform.

  • You will receive an email with the placement information and instructions on how to accept this.

  • Once logged in, you will need to complete outstanding personal information, e.g. Proof of ID, Right to Work.

For Limited companies: Raise will need to complete and approve standard compliance checks.

Please be sure to look over these details carefully and make sure they are correct before clicking accept!

The status of the placement will change to 'active' once it has been accepted by the contractor.
