We highly recommend you read this guide in full to understand the differences between V1 and V2 so you can start using the new functionality. This guide will go over:
How to convert your Task Templates into Checklists and Automated Tasks for use in V2.
How to use the new Tasks page for better visibility of your Tasks
Quick summary of recommendations in this article:
Don't start creating Checklists and Automated Tasks until you are ready to commit to staying on V2 as these items don't place nicely in V1.
Everyone on your team should commit to staying on V2 at the same time.
In Reach, go to Settings -> Tasks to turn on V2. You are able to switch back and forth as you are getting used to the new version.
The new version of Tasks introduces some new ways to visualize and organize your Tasks in Reach. First off, let's review some terminology changes:
V1 Feature | V2 Feature Equivalent |
Task Views | Saved Searches |
Task Templates (with Subtasks) | Checklists |
Task Templates (no Subtasks) | Automated Tasks* |
*Only Task Templates without Subtasks that are automatic are equivalent to V2 Automated Tasks.
Checklists / Automated Tasks
In V1, you set up your pre-made Tasks using Task Templates. These Task Templates could either have subtasks or not and they could either automatically create Tasks for you or not. We decided in V2 to split the functionality based on common use cases.
Checklists
A Checklist is just a list of Tasks in a very similar way that a Task Template contains a list of Subtasks. A Checklist can either automatically create new Tasks or not, just like Task Templates in V1. You can effectively think of Checklists as a drop-in replacement of these kinds of Task Templates.
To start using Checklists, click on the Checklists / Automated Tasks button in the top right of the Tasks page.
Migrating Legacy Task Templates
In V2, although your Task Templates from V1 can still be used, we recommend that you convert them to a Checklist. This is something that must be done by the owner of each Task Template.
Simply click on the Task Template to open up the Checklist creator pre-populated with the data from the Task Template for your review. Once you are happy with how the Checklist is configured, click on Create Checklist.
Once you convert a Task Template, it can no longer be used in V1 to create new Tasks. Furthermore the Checklist created cannot be used in V1.
Automated Tasks
An Automated Task is a replacement of an automatic Task Template with no subtasks. It can also be thought of as a Checklist with only one Task with automation turned on. Automated Tasks are great for single tasks like "Send Birthday Card" or "Client Follow Up"
To start using Automated Tasks, click on the Checklists / Automated Tasks button in the top right of the Tasks page.
Migrating Automated Tasks
Most Task Templates without subtasks are converted automatically for you from V1 and are ready to go! The only Task Templates that are not auto-converted in this way are ones that do not have automation turned on: these Task Templates must be converted into a Checklist.
Viewing Tasks
In V1 of Tasks, Task Views were the only way to view your Tasks: you had to create a filter of criteria and only the Tasks matching that criteria would show. Now we have 3 different ways to visualize Tasks: Timeline View, Category View, and Search View.
Timeline View
Reach now offers a quick and convenient way to view Tasks that are due in the next 30 days broken down by Tasks that are due Today, Tomorrow, in the Next 7 Days, and the Next 30 Days. Furthermore, you can see Tasks that are Overdue and Tasks that have no due date and therefore can be done Anytime.
In order to see this view on the Tasks page, change the dropdown in the top left to All Tasks.
Category View
Reach now offers a way to view your Tasks based on what they are linked to: Clients, Listings, or Transactions.
In the dropdown in the top left of the Tasks page, select either Clients, Listings, or Transactions to see all your outstanding Tasks grouped by linked item. You can also narrow down your view by searching for a Task Title or a Client name or Listing / Transaction address.
Tip: Don't want to see all those "Contact Follow Up" Tasks clogging up your view? Simply use the Checklist buttons on the left to toggle on / off Tasks from certain Checklists and Automated Tasks
Search View
Reach automatically converts your Task Views from V1 into Saved Searches for V2. They are available on the All Tasks page. Clicking on any one of them will take you to the Search page where you can view your list of Tasks that match the criteria.
You can also click on the large light green Search button to start making a new Search - whether you turn it into a Saved Search or not. Search by using Task title, due dates, tags, source checklist, or any combination!
We hope that you enjoy the new release! We are always happy to answer any questions to help!
