In RealScan, Reality Defender makes it easy to manage your organization’s users, roles, and scan activity- all from one place. Whether you’re inviting a new teammate, tracking usage, or managing admin permissions, everything happens right in your dashboard.
Accessing the Team Dashboard
From your left-hand menu, select the Team icon.
Here you can:
View all users in your organization
See each member’s role (Admin, Contributor, or Viewer) and status (active, invited)
Add or remove team members
User Roles & Permissions
RealScan uses role-based access control to keep your data secure.
Role | What They Can Do |
Admin | Invite and remove users, manage roles, view all scans across the org, export reports, and generate API keys. |
Contributor | Upload and analyze media, view their own scans, and download individual reports. |
Viewer | Read-only access, can see scans shared by Admins but cannot upload or edit. |
Tip: Only Admins can see the full company usage metrics and invite new users.
Inviting New Users
Log in to Reality Defender
Go to Team.
Enter your new user’s email address in the text field, assign a role
Click Invite to Team
The new user will receive an email invitation with a link to set up their password and activate their account.
Note: Enterprise accounts can request additional user provisioning support.
Removing or Changing a User
To remove or update permissions:
Go to Team → Members.
Hover over a user and click the ⋯ menu.
Choose Change Role or Remove User.
Confirm the action.
Removed users immediately lose access to the dashboard and API keys tied to their account.
API Key Management
Admins can generate organization-wide or user-specific API keys.
To create a key:
Select the Key icon on your left-hand menu
Click Create API Key.
Copy the key securely and add it to your .env file (RD_API={your-api-key}).
You can revoke or regenerate keys anytime from the same panel.
