Pending Action Status on Costs in Practice Connect

What does "Pending Action" mean on Costs?

If a cost shows the Pending Action status on the Practice Connect Costs page, it means the cost needs an action from your team before it is processed for client billing.

From Pending Action you can choose one of the following:

  • Send for tracking: send the cost for client tracking and billing. The cost can then appear on client invoices.

  • Track as non-billable: record the cost for tracking but exclude it from client billing.

  • Don't track: ignore and remove the cost so it will not be tracked or billed.

Why a newly mapped subscription or cost did not import or create a job automatically

When you map a new Xero subscription or client for the first time, the first charge does not flow through on its own. It lands on the Pending Action page and waits for you to action it. Until you do, no job is created in XPM and the cost will not show against a job, so it can look like the subscription did not import.

This is expected for a new mapping. To release it:

  1. Select the charge for the newly mapped client.

  2. Choose Send for tracking.

Once you select Send for tracking for the first charge, the job is set up and future charges for that client flow through as normal.
