How To Update Contact Information In Rechargly

How to update a client's name, email or postal address in Rechargly, and why an issued invoice can still show old details.

If your client has changed their name, email address or postal address, update it in your Xero Blue account first, then re-sync so Rechargly picks up the change.

Rechargly refreshes the Xero integration automatically once a day. A manual re-sync applies the change straight away.

Steps to re-sync your integration

  1. Go to Mapping.

  2. Open the dropdown menu and select Re-sync Contact.

  3. Your updated contacts should appear within a couple of minutes.

  4. Your updated contact details will then show in Rechargly.

Why an invoice still shows the old details

An invoice captures the client's details at the moment it is created. If you update a client's address in Xero after an invoice has been issued, that invoice keeps the address it was created with. This is why a PDF downloaded from Rechargly can show an old address while Xero shows the new one.

Updating the client in Xero and running a re-sync updates the details used on future invoices. It does not rewrite an invoice that has already been issued.

Bulk update contacts in Xero

  1. Go to the Mapping page in Rechargly and export your customers into a spreadsheet.

  2. Go to Xero XPM or your preferred contact management source.

  3. Map the empty Rechargly customer data to your XPM data.

  4. Import the updated spreadsheet into Xero Blue to update multiple contact records at once.

  5. Return to Mapping.

  6. Open the dropdown menu and select Re-sync Contact.

  7. Your updated contacts should appear within a couple of minutes.

Pro tip: For large updates, always back up your customer data before importing to Xero to prevent overwriting or duplicate records.
